Project Administrator (Contract)

Location: Verona, Pennsylvania (15 minutes outside Pittsburgh) – Onsite

Contract: 6-month renewable contract

Compensation: Hourly rate + per diem (where applicable)

The site, located just outside Pittsburgh, is entering a critical execution phase—with construction mobilizing, equipment arriving, and project momentum building rapidly. This role offers the chance to work alongside experienced project leadership on a live, fast-moving project where your contribution will be visible, valued, and essential to delivery.

This is not a typical administrative role. It’s a hands-on, project-facing position where you’ll sit at the center of operations—supporting engineering, construction, procurement, and field execution teams to keep everything aligned and moving forward.

Position Overview

The Project Administrator plays a key role in supporting project execution by managing documentation, coordinating logistics, tracking materials, and ensuring seamless communication across stakeholders.

This position requires someone who understands how projects actually run—someone who can operate comfortably between the office and the field, proactively chase information, and keep teams organized in a fast-paced construction environment.

What You’ll Be Doing

Project Documentation & Controls

  • Maintain project schedules, logs, trackers, and documentation systems
  • Manage daily reports, timesheets, and weekly progress updates
  • Track RFIs, submittals, and change orders—ensuring timely follow-up with engineering and field teams
  • Prepare meeting minutes and distribute clear, actionable updates

Material Coordination & Site Logistics

  • Coordinate onsite material deliveries with freight providers and dispatch teams
  • Act as the central point of contact for incoming deliveries and site personnel
  • Maintain and update material tracking logs to ensure visibility across the project
  • Support procurement activities and equipment/material planning

Communication & Team Coordination

  • Serve as a key communication hub between project leadership, field engineers, contractors, and vendors
  • Ensure accurate and timely distribution of drawings, specifications, and project updates
  • Proactively follow up on outstanding actions to keep the project moving

Planning & Execution Support

  • Assist with workforce planning, mobilization, and resource tracking
  • Support project leadership with weekly and monthly reporting
  • Help maintain alignment between construction progress and project plans

Quality, Safety & Compliance

  • Track inspections, permits, and compliance documentation
  • Maintain safety records and support adherence to site standards
  • Ensure all documentation aligns with contractual and regulatory requirements

Administrative & Operational Support

  • Organize and maintain project files, drawings, and digital systems
  • Coordinate meetings, calendars, and workflows for project leadership
  • Support cost tracking, invoice processing, and project reporting where required

What We’re Looking For

Required

  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment
  • Excellent communication skills—comfortable working with both field and office teams
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint)
  • Proven ability to follow through, chase actions, and keep teams accountable

Preferred

  • Experience in construction, engineering, manufacturing, or industrial project environments
  • Familiarity with project workflows (RFIs, submittals, procurement, scheduling, etc.)
  • Experience with project management tools (e.g., Procore, MS Project, Smartsheet)
