The Role: Executive Assistant to the Office of the CEO

The Impact: Provides executive support essential to the mission of the organization and the day-to-day operation of the Office of the CEO (OCEO).

Responsibilities:

  • Receives, screens, and directs incoming calls, visitors, mail, and email while exercising a high level of discretion in managing the confidential and sensitive nature of communications

  • Executive Administrative to the OCEO and supporting the Chief of Staff and executive protection, including but not limited to calendar management, coordinating complex and detailed domestic and international travel, itineraries, agendas and compiling documents for travel-related meetings, visa application submission, creating, and submitting monthly expenses

  • Partners with the executive protection team to ensure that CEO movements local, domestic, and international are coordinated and properly covered

  • Contribute to the development of processes and workflows for the Office of the CEO Team

  • Reserve conference rooms and visitor offices in the executive suite for ExCo Members and Board Members

  • Manages and tracks all incoming external invitations for sponsorship events

  • Manages, processes and tracks invoices for vendors and consultants

  • Update and maintain database of key influencers and business contacts for CEO

  • Create, manage, and maintain electronic filing system

  • Oversee ordering and maintenance of office supplies

  • Manage specific project tasks as required

  • Perform other duties as assigned

Compensation/Benefits Information: (This section is only applicable to US candidates)

S&P Global states that the anticipated base salary range for this position is $60,000 to $120,000. Final base salary for this role will be based on the individual’s geographic location, as well as experience level, skill set, training, licenses and certifications.

What We're Looking For

Basic Required Qualifications:

  • At least 5 years of administrative experience in a global, corporate setting

  • Demonstrated ability to use judgment, discretion, and maintain confidentiality on sensitive issues

  • Strong experience in scheduling and managing a complex, demanding, and constantly changing schedule

  • Excellent verbal and written communications

  • Highly organized and detail oriented

  • Demonstrated ability to manage complex tasks and prioritize competing demands in order to meet deadlines

  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Co-Pilot)

  • Proficiency with Microsoft Teams, Zoom, and other virtual platforms

  • A strategic thinker who is adept at multi-tasking in a fast-paced environment, able to plan, prioritize, and organize individual and group activities and processes

  • Outgoing, straightforward, and creative

  • Able to work independently and take initiative

  • An adaptable, flexible problem-solver

  • This role requires 3-4 days a week work from 55 Water Street office
