Essential Duties Summary

  • Reviews transcripts to ensure eligibility for admission to a specific program and evaluates transfer credits and applicability to program requirements.
  • Answers inquiries and resolves problems related to curriculum and course prerequisites for students.
  • Advises and assists students with selection of a major field of study, course selection, and class schedule.
  • Advises and assists students in the development of academic plans and class schedules to transition to specific undergraduate academic department.
  • Monitors student academic progress. Discusses academic and probation problems and advises students of corrective action to improve academic performance.
  • Identifies, communicates with, and monitors the academic activities of students and program compliance.
  • Prepares, maintains and updates files to ensure coursework and other specific program .requirements are met by students. Generates required statistical reports to fulfill University and outside agency requirements,
  • Assists faculty, athletic coaches, and other counseling personnel by providing records, evaluations, and other requested data or information to process admission or graduation requests and to aid in resolution of academic problems.
  • Assists students In overcoming educational and personal problems, and study skills deficiencies. Refers students to counselors, If necessary.
  • Assists In formulating procedures and making decisions Involving the application of academic suspension regulations, as appropriate.
  • Assists In the planning, development, and Implementation of orientation programs for students.
  • (Freshmen advisees) Meet with advisee during orientation to assist student with Initial adjustment to university academic life. Special sessions should be scheduled throughout the first academic year.
  • (For continuing advisees) Meet at least once each semester with continuing students to plan for the coming semester (or summer) and to review/revise long range academic program schedules.
  • Monitor progress toward educational/career goals and meet at least once each semester to review the progress toward completing the proposed academic program and to discuss grades and other performance indicators.
  • Follow-up with the advisee on any report of unsatisfactory work (notice of class probation for poor attendance, notice of FA and/or failing grades, Incomplete grades from past semester(s), etc.). Special attention should be paid to students who are placed on academic probation.
  • Approve all designated educational transactions (e.g., pre-registration/registration schedule, drops/adds, withdrawals, change of major and advisor, waivers, graduation requirements, etc.).
  • Maintain an up-to-date Advising Portfolio, with a summary record of performance to date (grade reports; transcript, requirements completed, etc.), dates of conferences, notation of special circumstances, and up-to-date details, etc.
  • Performs other jobs related duties as assigned.

Education

Required

Bachelor’s Degree (B.A. or 8.S.) from an accredited four-year college or university

Preferred

Master’s Degree (M.S.) from an accredited four-year college or university.

Knowledge of

  • Policies, procedures, practices and equipment.

  • Prepare detailed reports.
  • Work independently.

Work Experience

Required

  • (3) years to (5) years of related experience.
  • Requires one to three years of related experience.
  • Requires a working knowledge of standard practices and procedures for academic advising.

Working/Environmental Conditions

  • Work is performed within routine office environment with no exposure to hazardous or unpleasant conditions.
  • Physical demands are usually limited to sitting or standing in one location much of the time.
  • Some stooping, lifting, or carrying objects of light weight may be required.
