About the team and role
The Workplace & Real Estate Operations Lead plays a critical role in enabling how Klaviyo’s workplaces and employee experiences operate at scale.
This role sits within the Communications, Workplace and Experiences team and serves as the operational backbone across workplace operations, real estate, and employee experience programs.
This role partners closely with Finance, People Leadership, Real Estate, and Workplace teams to manage planning, budgets, leases, and vendor relationships across Klaviyo’s global office portfolio. They will also bring operational rigor and structure to how the team plans initiatives, manages resources, and executes projects.

How you'll make a difference
- Lead operational oversight of workplace and real estate budgets, partnering with Finance and People Leadership on planning, forecasting, and spend management
- Own lease management processes across Klaviyo’s global office portfolio, including tracking lease obligations, key dates, renewals, and financial commitments
- Partner closely with CBRE and internal Real Estate leadership on lease negotiations, landlord coordination, and real estate operational planning
- Manage vendor relationships across workplace operations and employee experience programs, including contract management, renewals, and performance oversight
- Support real estate and workplace initiatives in, providing operational coordination and project management for office projects and space planning efforts
- Establish and improve operational processes that help the Communications, Workplace and Experiences team manage budgets, vendors, and initiatives effectively
- Coordinate planning rhythms and calendars across Communications, Employee Experience, and Real Estate teams to improve alignment and visibility
- Partner across functions to ensure workplace initiatives, programs, and office operations are well organized, well resourced, and delivered effectively
- Identify opportunities to improve operational efficiency, vendor performance, and cost management across workplace and employee experience programs
Who you are
- Strong operational leader with experience managing budgets, vendors, and business operations in a complex organization
- Highly organized with exceptional attention to detail and the ability to manage multiple priorities and projects simultaneously
- Strong financial and analytical skills with experience managing budgets, forecasts, and operational spending
- Experience managing vendor relationships including contract negotiation, renewals, and performance oversight
- Experience supporting lease management, real estate operations, or corporate workplace operations
- Strong project management skills with the ability to bring structure and clarity to complex initiatives
- Excellent communication and collaboration skills with the ability to work across multiple teams and leadership stakeholders
- Ability to identify operational gaps and proactively improve systems and processes
- Comfortable operating in a fast paced and evolving environment
Education and Experience
- Bachelor’s degree in business, operations, real estate, finance, or a related field, or equivalent experience
- 8+ years of experience in operations, workplace operations, real estate operations, business operations, or a related field
- Experience managing budgets and financial planning for operational teams
- Experience managing vendor contracts and operational partnerships
- Experience working with corporate real estate partners, brokers, or firms such as CBRE preferred
- Experience supporting multi location or global workplace operations preferred

Our salary range reflects the cost of labor across various U.S. geographic markets. The range displayed below reflects the minimum and maximum target salaries for the position across all our US locations. The base salary offered for this position is determined by several factors, including the applicant’s job-related skills, relevant experience, education or training, and work location.
In addition to base salary, our total compensation package may include participation in the company’s annual cash bonus plan, variable compensation (OTE) for sales and customer success roles, equity, sign-on payments, and a comprehensive range of health, welfare, and wellbeing benefits based on eligibility.
