About Mood

Mood Health
is changing how people access mental health care. We believe care should be personal, human, and accessible—and that every patient deserves a provider who truly fits their needs. That’s why we carefully match each client with the right clinician.

Our mission is simple and powerful: empower people to heal, grow, and thrive. We know mental health is just as essential as physical health, and authentic human connection drives everything we do. Through video visits, our expert clinicians—psychiatric nurse practitioners and therapists—deliver therapy and medication management right from the comfort of home.

Role Summary

As our Executive Operations Associate, you will be responsible for supporting day-to-day business operations with a focus on financial coordination, administrative execution, and operational support. You’ll work closely with the COO to ensure core business functions run smoothly, accurately, and on time. This is a highly detail-oriented role that requires strong organization, discretion, and follow-through.

You’ll partner closely with leadership, external vendors, and internal teams to ensure our financial processes and operations are accurate, compliant, and efficient—while supporting continued growth.

What You’ll Do

Financial & Administrative Operations

  • Process and manage payroll coordination, ensuring accuracy and timely execution
  • Handle check deposits and cash management, including tracking and reconciliation
  • Coordinate and execute wire transfers between business entities
  • Manage and process rent payments for clinic leases, ensuring deadlines and documentation are met
  • Maintain organized records of transactions, payments, and financial documentation

Executive & Inbox Management

  • Manage and triage the COO’s inbox, prioritizing messages and drafting responses when appropriate
  • Track action items and follow-ups to ensure nothing falls through the cracks
  • Support calendar coordination and scheduling as needed

Operational Support

  • Assist with day-to-day business operations across multiple functions
  • Support ad-hoc operational projects, including process tracking, documentation, and coordination
  • Help identify inefficiencies and contribute to simple process improvements

Who You Are

  • Experience in operations, administrative support, or finance-related roles
  • Experience handling payments, invoicing, payroll coordination, or financial admin tasks
  • Comfortable working directly with senior leadership
  • Proficiency in Google Workspace (Docs, Sheets, Gmail) and basic financial tools
  • Proactive, hands-on, and comfortable operating in a fast-paced startup environment
  • Excellent written and verbal communication skills, with the ability to partner across teams and vendors

Why Join Mood

  • Competitive base salary plus benefits package (Range $65,000-$70,000 USD)
  • Be part of a mission-driven company that’s rewriting the playbook for mental healthcare.
  • A collaborative, supportive culture where your work directly impacts lives every day.
  • Growth opportunities—develop customer-facing, communication, and sales skills in a fast-growing healthcare company.
