Job Description:

The Property Manager primarily reports to the Head of Property Management . He also has a critical reporting line to the Regional Director and maintain a functional relationship with the teams in Construction, Procurement, Business Development, and Controlling.
The Property Manager works with a micro team which consists out of 5 – 10 people who are responsible for the success of the projects which are being developed in the region, under the responsibility of the Regional Director of the Microteam.

The Property Manager will focus on the Specific Parks and is responsible for all the tasks as outlined below:

Purpose of the Role and Key Responsibilities

Park Administration and Maintenance

  • Coordinate the maintenance and operation of technological equipment in buildings, including daily maintenance.
  • Supervise the facility management service provider (internal and external) for maintenance activities and regular technical inspections.
  • Ensure the organization of warranty repairs and handle defects caused by usage (non-warranty repairs).
  • Prepare and oversee maintenance plans, CAPEX, and operating budgets.
  • Evaluate and optimize operating costs, including energy consumption and building operations.

Tenant Relations

  • Manage tenant relationships directly, respond promptly to emergencies, and ensure proactive management for infrastructure and technical-administrative issues.
  • Communicate regularly with building users, ensuring compliance with mandatory maintenance as per lease agreements.
  • Investigate and resolve tenant requests and complaints efficiently (tickets), with 90% of requests resolved within five working days.
  • Prepare calculations and documents/statements for re-invoicing tenants’ costs.

Facility and Property Management

  • Organize fire protection, workplace safety, and environmental initiatives.
  • Supervise and manage subcontracted services such as security, gardening, and cleaning.
  • Organize and evaluate tenders for subcontracting and oversee the contracted services.
  • Ensure compliance with site-specific policies and procedures and respond to emergencies effectively.
  • Maintain a high standard of professional appearance and functionality for the park.
  • Perform regular inspections of leased premises and monitor the quality of provided services.

Construction and Refurbishment

  • Coordinate small building works, including the setup and refurbishment of office and warehouse spaces based on approved blueprints/designs/conditions.
  • Manage refurbishment and repair projects from design and permitting through tendering and final completion.
  • Collaborate closely with the construction and design departments to ensure project alignment.

Supplier and Local Authority Communication

  • Maintain communication with suppliers to ensure timely and quality services.
  • Liaise with local authorities for permitting and regulatory compliance.

Operational Planning and Reporting

  • Organize activity plans within the project, ensuring resource availability to meet objectives.
  • Prepare reports by collecting, analyzing, and summarizing data and trends.
  • Propose and implement energy-saving initiatives.

Security, Safety, and Compliance

  • Secure the property through effective security, health & safety, fire protection, and outdoor services.
  • Ensure seasonal maintenance, including winter and summer cleaning.
  • Monitor and enforce adherence to lease contracts, including handovers and takeovers.

Key Succes Factors

The Property Manager be most successful if is adaptable to an administration & coordination, hands-on and fast-paced growth environment. This requires very good knowledges about Property & Facility Management, Leadership skills and willingness to sit down with subcontractors’ teams and have a collaborative solution driven approach to the Business Development & Construction Teams.
