Job description

This position provides high-level, diversified Executive support to assist and/or relieve the respective Senior Executive of complex details.  Accountable for instituting and conducting all phases of office procedures, coordinating and organizing projects for maximum efficiency and implementing creative improvements for better management workflow.  Works independently to perform daily office activities and procedures (budget monitoring and control, record-keeping systems, incoming correspondence, etc.) to ensure a smooth office atmosphere.  Individual must be a highly trusted partner responsible for exercising confidentiality, tact and diplomacy.

This position will report onsite in Westborough, MA. Regular travel to CT to support organizational needs will be required.

Essential Functions: 

  • Reviews and provides summaries and recommendations on letters, reports and other documents as requested by manager.
  • Arranges meetings, appointments, and travel; controls calendar and work day; Screens and prioritizes requests for executive’s time.
  • Coordinates, composes and prepares materials/agendas/reports for managers’ internal and external appointments and commitments.
  • Manages telephone, written correspondence, and personal contact with the Executive by maintaining current awareness of priorities and personal preferences.
  • Maintains close contact with other officers and department managers within and across other organizations to apprise Manager of significant activities and events.  Manages the coordination of cross-functional projects, assignments, etc.
  • Analyzes organization’s administrative practices, recommends creative ideas, then implements strategies to improve office workflow.
  • Creates and maintains sophisticated computerized data documents to support (and report on) organizations’ daily operation.
  • Contributes to organization’s success by providing efficient, high quality customer service, to all internal and external constituents.
  • May delegate assignments to, or provide direction and oversight to, projects for organization level secretaries as deemed necessary.
  • Uses formalized team approach to provide assistance to colleagues and managers.
  • Works independently to perform daily office activities and procedures (office supplies/services, budget monitoring and control, record-keeping systems, incoming correspondence, etc.) to ensure a smooth office atmosphere.

Qualifications:

Technical Knowledge/Skills

  • Demonstrates a record of high-performance standards and strong organizational skills
  • Excellent interpersonal and oral and verbal communication skills
  • Ability to work independently
  • Ability to manage multiple priorities, maintain confidentiality, and operate with poise and
  • Demonstrated expertise with Microsoft Programs (Outlook, PowerPoint, Excel, Word, etc.)

Education/ Experience:       

  • High School Diploma with advanced business training or equivalent
  • Associate degree preferred

Experience:                          

  • Minimum of seven (7) years demonstrated executive administrative experience or equivalent. 

Working Conditions:

This position is categorized as safety-sensitive for the purpose of drug testing. Successful applicants shall be subject to a pre-assignment drug test if the individual is currently in a non-safety sensitive position. As an employee in this position the individual shall be subject to random drug testing.

  • Must be available to work emergency restoration assignment as required.
  • Must be available to travel between MA/CT/NH as necessary.

$82,970.00-$92,190.00
