How You Succeed
You succeed by proactively managing tenant feedback and maintenance requests, coordinating property viewings and tenancy fit-outs, and effectively managing advertising space rentals and events with professionalism and attention to detail.

What you do         

This role reports to the Centre Manager (Property Management), working closely with other property and facilities management personnel in the team to ensure the smooth day-to-day operations and upkeep of the properties.
 

Tenant Relationship Management & Engagement

  • Serve as the primary point of contact for tenants on tenancy-related matters.

  • Build and maintain positive working relationships with tenants to enhance tenant satisfaction and retention.

  • Respond promptly and professionally to tenant enquiries, requests and concerns.

  • Conduct regular tenant check-ins and engagement activities to gather feedback and identify emerging issues.

  • Assist in tenant onboarding including briefing on house rules, operational procedures and building services.

Feedback Management and Service Quality

  • Act as the liaison between tenants and other property and facilities management and maintenance team and service vendors to coordinate maintenance-related matters including all necessary coordination of rectification works to ensure timely resolution.

  • Monitor response times and service outcomes to ensure service levels are met.

  • Support service improvement initiatives based on tenant feedback and operational observations.

  • Collaborate closely with facilities management team to ensure tenants considerations are embedded into building operations and maintenance delivery. This includes providing all necessary support during incident management situations.
     

Property Viewings and Space Management

  • Facilitate property and tenancy viewings for prospective tenants, advertisers and event users.

  • Ensuring readiness of viewing areas and that they are well presented, safe and compliant with building standards.

  • Track space utilisation and monitor income generated from leasing of advertising spaces and events.
     

Tenancy Fit-Out Coordination

  • Coordinate and management tenant fit-out processes in accordance with approved guidelines and timelines and approved plans.

  • Review fit-out submissions and coordinate clearance with internal stakeholders (e.g. facilities, safety, security)

  • Monitor fit-out progress and conduct site inspections where required.

  • Support handover and reinstatement processes at commencement and end of tenancies.
     

Administrative and Vendor Management

  • Perform administrative duties related to facilities operations for an office premises including procurement, contract administration and timely invoice verification and processing.

  • Monitor operational expenditures and ensure alignment with approved budgets and contractual obligations.

  • Prepare annual OPEX and CAPEX budget planning , including lifecycle planning for facilities-related term contracts, systems and assets.

Who you are

  • At least 8 years of relevant experience in property / facilities management in high-rise commercial buildings.

  • Diploma or Degree in Property & Facilities, Estate Management, Real Estate, Business Administration or related disciplines.

  • Proven ability to manage tenant feedback, enquiries, complaints and service requests professionally.

  • Possess sound knowledge of the principles, practices and techniques of building and facilities management operations, maintenance, tenancy fit-out with ability to coordinate, analyse and troubleshoot for resolution.

  • Good understanding of applicable codes, standards, regulations and best practices for management of building operations and systems.

  • Experience in managing and liaising with in-house technical teams and external service providers to deliver operations and maintenance services.

  • Self-driven and motivated to succeed, with an ability to work independently in a fast-paced  and demanding environment.

  • Able to multi-task, be organised and resourceful to drive outcomes and achieve deadlines.

  • Good interpersonal and communication skills (verbal and written).
