Main Function

The qualified candidate will be part of the Office Service team and be responsible for full mailroom services. This position provides support on a daily basis to the Plymouth Office. The position requires excellent communication skills, organization, accuracy, attention to detail, relationship building skills, verbal & written communication, judgment, and confidentiality. This position is in office Monday to Friday.

Overall Responsibilities

  • Sorts and delivers incoming mail and packages by department to ensure timely distribution.
  • Processes and weighs outgoing mail and packages.
  • Maintains records of receipt, mailing dates and other required information.
  • Process bulk mailings via mail and FedEx Manager.
  • Operates mail machines including the postage meter, copiers and mail folding and inserting machine.
  • Replenishes postage on postage meter as needed. Monitor the supplies needed for the postage machine. Place service calls when needed.
  • Responsible for maintaining an adequate supply of shipping materials, such as boxes, tape and labels and keep inventory of these supplies.
  • Stocks supplies for the mailroom.
  • Check all fax machines throughout the day and distribute to appropriate recipients.
  • Restocking of printers and copier stations with throughout the office.
  • Maintain the mailroom to ensure that it is always clean and organized.
  • Restocking of snacks and drinks in pantry area.
  • Office Events - Assist with setting up and breaking down of office events and gatherings
  • Occasional switchboard coverage for breaks. Fill-in when receptionist is out of the office.
  • Performs additional ad-hoc duties as assigned.

  • Experience in a professional setting.
  • Strong customer service skills with the ability to handle requests in a courteous, professional, and timely manner.
  • Sound time and project management skills
  • Ability to organize and manage multiple projects to ensure deadlines are met.
  • Ability to multitask and work in a fast-paced environment
  • Strong communication and coordination with multiple departments
  • Strong computer skills (MS Word, Excel, Outlook)
