As an Onboarding Coordinator , you’ll play a critical role in shaping the onboarding experience across Fraser Health by overseeing the day‑to‑day operations of the Onboarding team and driving continuous improvement in service quality, consistency, and delivery. Reporting to the Leader, Talent Acquisition & Onboarding, this role blends people leadership, process improvement, and project coordination. In this role, you will: Oversee daily onboarding operations and provide guidance to the Onboarding team to ensure effective, timely, and consistent service delivery. Lead the planning, coordination, and implementation of onboarding processes, initiatives, and projects from concept to completion. Support performance reviews, and contribute to the development of management and operational business processes and templates. Monitor onboarding related audits ensuring all requirements are complete and compliant. Establish and maintain onboarding standards of practice, documentation, and follow‑up processes aligned with industry best practices and Fraser Health’s operational needs. Facilitate change management initiatives and provide regular status updates, insights, and recommendations to the Leader. Partner with a wide range of internal and external stakeholders, responding to inquiries and delivering clear, concise updates on progress, risks, challenges, and opportunities. Fraser Health is committed to fostering a diverse workforce and creating an environment grounded in Respect, Caring, and Trust . #LI-DNI Detailed Overview Supporting the Vision, Values, Purpose and Commitments of Fraser Health including service delivery that is centered around patients/clients/residents and families: Under the direction of the Project Leader, the Project Coordinator for Onboarding provides project coordination services to Talent Acquisition & Onboarding in the areas of business planning, process design, information management and transition planning to improve the quality, consistency and delivery of Onboarding services across FH; develops management and operational business processes and process templates; reviews benefit audits, and criminal record check reports for new hires to ensure completion. Coordinates cross-functional teams to complete selected projects by working with project leaders, business area managers and consultants to support the implementation and execution of selected projects. Assists the onboarding and integration function with developing and establishing standards of practice for onboarding processes, documentation, completion and follow up; implements project deliverables and processes consistent with industry-wide best practice, FH business and operational requirements; assists with measuring the overall effectiveness of improvement to onboarding service delivery and responsiveness and monitors outputs against defined project standards/outcomes. Responsibilities Coordinates the planning and implementation of assigned onboarding projects and/or components thereof, from the initial planning and design stages through to implementation and completion; provides support by communicating policies and priorities, monitoring work and ensuring issues are resolved or escalated to appropriate level(s) to meet project budget, schedule, deliverables and user requirements. Reviews and monitors onboarding audits including benefit entitlements, onboarding check in surveys, and criminal record checks; follows up with onboarding team to ensure necessary updates are complete. Coordinates various information system projects including expedited user access set up through IMIT; supporting the implementation of a new onboarding technology by adhering to project management methodologies, managing project timelines, facilitating change management strategies, defining tasks, identifying project needs, and reporting on project status to the Leader. Participates in the project coordination and design phases as required. Under the direction of the Leader, works to provide reports or raises concerns as necessary. Provides guidance to team members. Performs business analysis including conducting work flow analysis and developing business information requirements, documents, templates, and models. Defines business scope and objectives; plans designs or modifies onboarding manual and automated business procedures, and facilitate change management strategies as part of the project. Liaises with various internal and external stakeholders; conveys information and responds to queries, concerns, etc. with respect to project status, design and construction matters; provides frequent clear and concise reports to leadership regarding ongoing issues, progress updates, challenges and opportunities. Carries out project plans according to established project methodologies and systems to ensure successful and coordinated completion of project components by working with stakeholders and/or user groups while supporting departments. Provides project support to Leaders/Managers/Client Partners on single projects or portfolios of projects by assisting with project planning and coordination, maintaining and coordinating information flow and project records including proposals, contracts, risk/issues registries, work plans and timelines, change requests, meeting agendas and minutes, project decisions and approvals, submittals, plans, manuals, status reports, and related quality and risk management processes. Reviews and assesses existing documentation including offer letters, onboarding checklists, and new hire packages. Provides updates to existing documents, and recommendations on options to improve the onboarding experience, efficiency and effectiveness of onboarding. Qualifications Education and Experience Bachelor's degree in Business, Information Systems or Health Information Science, or other health related disciplines, three (3) to five (5) years recent related experience in contemporary project management or an equivalent combination of education, training and experience.
