We’re seeking someone to join our team as an IBD Executive Assistant in Frankfurt.
In the Investment Banking division, we offer Global expertise in market analysis and in advisory and capital-raising services for corporations, institutions, and governments.

What you’ll do in the role:
Support the business of the Investment Banking Division
Provide secretarial support to designated business teams including
Travel and calendar management (Arrange internal and external client meetings as well as booking of conference rooms; Schedule detailed travel itineraries and event organization ensuring adherence to Firm and IBD policy; Organize and booking of all travel requirements such as transportation, visas, accommodation, and so on.)Office Organization (Answer internal and external calls as well as set up of conference calls and video conferences; Dealing efficiently, politely and professionally with internal requests as well as with requests from clients; Maintain electronic diaries and IBD CRM; Maintain accurate filing and archiving systems)
Expenses & vendor invoices (Prepare and processing complicated expense reports in a timely manner ensuring adherence to Firm and IBD policy; Maintain accurate records to ensure timely payment; Process vendor invoices via Smaart in a timely manner)Prepare translations (English/German and German/English)
Training of newly hired assistants
Process good technology skills, learn new skills quickly and use technology to enhance role and increase productivity
Ensure absence cover and provide additional help when a work overload arises
What you’ll bring to the role:
Confirmed experience providing support at Executive level
Fluent English and German, both written and oral
Experience working in Investment Banking (Corporate Finance, M&A Advisory)
Have responsibility for all tasks, following up outstanding items without the need for chasing
A confident, friendly, outgoing “people orientated” personality required, who can liaise with people on all levels to achieve work goals
Proven ability to be able to remain calm vying priorities and deal with last minute changes to schedules effectively and efficiently
Ability to be flexible e.g., a willingness to work overtime
Discreet, professional manner; maintain confidentiality on all aspects of workload
Pro-active “can do” approach
Ability to use own initiative and judgement and work autonomously when Banker is travelling and be pro-active in planning ahead
Highly organized and excellent time/priority management skills; capable of multi-tasking to meet deadlines and able to follow up outstanding items as necessary
Articulate; an effective communicator
Attention to detail is essential
Ability to develop relationships with internal and external counterparts
Good team player/buddy to other assistants in team
Articulate, effective communicator
Good knowledge of Microsoft applications (Excel/PowerPoint/Word), and Outlook
Experience processing expenses online (e.g., on Concur)
Experience booking travel via an online booking tool
Experience working with Client Relationship Management systems (CRM)
Minimum 50 wpm typing
Ongoing training on all MS systems and policies will be provided
