This position is ideal for someone who is organized, proactive, and eager to grow into a full project or program management role.

This role is located onsite in Belgrade Montana.

Responsibilities:
Program & Project Coordination

  • Work closely with the Project Manager to understand program objectives, constraints, risks, and timelines.
  • Own and maintain detailed project plans and task trackers, ensuring assigned work is documented, monitored, and completed on schedule.
  • Facilitate coordination across multiple project teams, helping to align deliverables, dependencies, and priorities.
  • Support risk and issue tracking by identifying roadblocks early and forwarding recommendations for mitigation or escalation.
  • Operational & Execution Ownership
  • Manage and execute key program tasks independently, ensuring timely completion and cross-team communication.
  • Coordinate operational activities across internal and external partners—including technical teams, suppliers, and customers.
  • Support planning and execution of program test events, demonstrations, or milestone activities with attention to timelines, requirements, and resource readiness.

Meeting & Stakeholder Management

  • Plan, schedule, and run program meetings, including preparing agendas, leading discussions when required, and tracking action items.
  • Provide clear and timely updates to stakeholders, ensuring visibility into progress, risks, dependencies, and next steps.
  • Serve as a communication bridge between the Program Manager, engineering teams, support functions, and external partners.

Documentation & Reporting

  • Develop and maintain accurate program documentation, including schedules, action logs, test plans, status reports, and compliance-related materials.
  • Prepare regular progress summaries for internal and external stakeholders.
  • Ensure all program documents are stored and managed according to company standards and configuration control policies.
  • Continuous Improvement & Program Support
  • Identify opportunities to improve operational efficiency, communication, or workflow across the program.
  • Participate in post event or post milestone reviews to capture lessons learned and help refine program execution.
  • Support the Program Manager in defining processes, templates, and structures that enable predictable program delivery.

Qualifications:
Required:

  • Proficiency in Microsoft Office Suite and familiarity with project management tools (such as MS Project, Jira, Asana, or similar).
  • Demonstrated ability to work proactively, solve problems, and complete tasks with limited direction.
  • Ability to travel up to 25% to support program events, testing, stakeholder meetings, or onsite coordination activities.

Desired:

  • Certification or coursework in Project Management (CAPM, PMP, ScrumMaster, etc.).
  • Experience supporting technical teams or multi project environments.
