Job description

We are hiring for two highly skilled Executive & Office Support Assistants to join our Executive Team Assistant team. This is a varied role within a collaborative, shared support model (rather than traditional 1:1 support), offering a breadth of responsibilities and opportunities to work closely with colleagues across the organisation. You will provide trusted, high-quality support to multiple senior leaders, helping them stay organised and effective while also contributing to a welcoming, well-run office environment.

Please note that successful applicants will be required to work from our Canary Wharf office three days per week as the role also includes providing additional office support and reception cover as needed.

Everyday responsibilities include:

  • Provide confidential, proactive support to multiple senior leaders, managing busy diaries and helping prioritise competing demands.
  • Coordinate meetings end-to-end, including agendas, logistics, joining details, room bookings and stakeholder communication.
  • Prepare and review briefing packs and meeting materials (such as papers, slide decks and read-aheads) to ensure leaders are fully prepared.
  • Provide secretariat support where needed, including minute-taking, maintaining action logs and following up on next steps.
  • Arrange travel and accommodation, supporting colleagues with self-service tools and ensuring bookings follow policy guidelines.
  • Manage incoming correspondence (emails, calls and post), drafting responses on behalf of leaders using agreed templates and tone of voice.
  • Help create a welcoming office environment, including reception/front-of-house cover, visitor access and hospitality arrangements.
  • Maintain effective office systems and records, including document control and confidential information handling, while identifying opportunities to improve ways of working.

Skills and experience for success:

  • Experience supporting multiple senior leaders, including managing complex diaries, inboxes and shifting priorities.
  • Strong organisational skills and attention to detail, with the ability to work at pace and remain calm under pressure.
  • Excellent written and verbal communication skills, including drafting clear, professional emails and briefing notes.
  • Confidence using Microsoft 365 tools (Outlook, Teams, Word, PowerPoint and Excel), with the ability to learn new systems quickly.
  • High levels of discretion and sound judgement when handling sensitive and confidential information.
  • A collaborative, customer-focused approach, comfortable supporting reception/front-of-house and building strong relationships across stakeholders.

While your qualifications are certainly important and provide a foundation, we are particularly interested in understanding the breadth and depth of your overall experience.

Salary from: £41,500

Closing date for applications - Friday 24th April

Our teams and squads have, and will continue to reflect on what works best for them to work together successfully and have the freedom to design working patterns to suit, beyond the minimum. Our office locations are: Canary Wharf, Cambridge and Leeds.
