PURPOSE
The Administrative and Operations Coordinator serves as an operational leader and partner to the Dean. This role oversees operational effectiveness, coordinates special projects, and provides administrative support to the Dean. The position ensures alignment across academic and administrative units, improves processes, and supports the College’s mission and performance goals.
DESCRIPTION
Functional Area 1: Project Coordination
Percent Effort: 50%
Coordinate multiple project timelines, deliverables, and provide faculty with support.
Coordinate and monitor cross-functional initiatives within the college and across campus as well as special projects on behalf of the Dean.
Support dean with preparing updates for leadership, advisory boards, and university administration.
Functional Area 2: Operational Coordination
Percent Effort: 25%
Work closely with associate deans to recommend administrative processes to increase efficiency and service quality.
Coordinate operations across departments and partner with business coordinators.
Provide administrative support to the college committees.
Partner with other staff in the college for operational efficiency.
Coordinate updates on college webpages and social media.
Functional Area 3: Administrative Support to the Dean
Percent Effort: 25%
Serve as the primary staff liaison for the Dean’s Office.
Manage the Dean’s calendar.
Handle communications, briefing materials, and meeting agendas.
Coordinate meetings, retreats, and advisory board activities.
Attend stakeholder meetings with the Dean.
Perform other duties as assigned.
QUALIFICATIONS
Bachelor’s degree in Business, Public Administration, Higher Education Administration or related field
Two (2) years of related experience in administrative and operations support.
Intermediate skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, and Teams) and Zoom.
Excellent interpersonal and communication skills to be able to work cooperatively with others. Listens intently and gets clarification where needed.
Ability to work independently and efficiently with minimal supervision. Ability to work in a fast-paced environment.
Excellent attention to detail.
Excellent organizational planning and problem-solving skills.
PREFERRED QUALIFICATIONS
Master’s degree in Business, Public Administration, Higher Education Administration or related field
Proficiency with AI tools.
Experience with FAMIS/Canopy, Argos, Banner, Concur, Workday and other relevant software.
Previous employment or internship at an institution of higher education.
Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, and Teams) and Zoom.
SALARY: $4,166.67- $4,333.34 monthly ($50,000-$52,000 Annual, Approximately)
