Job Description:

We are seeking an experienced US Benefits Specialist to manage and administer employee benefits programs while ensuring compliance with all regulatory requirements. This role will also focus on HR data analysis, reporting, and continuous process improvement to enhance employee experience and operational efficiency.

Key Responsibilities

Benefits Administration

  • Manage employee benefit programs (medical, dental, vision, life, disability, retirement, and voluntary plans)
  • Process enrollments, updates, and terminations accurately
  • Support and execute annual Open Enrollment
  • Maintain data accuracy across HRIS, payroll, and vendor systems
  • Reconcile benefit data with invoices and manage vendor billing
  • Coordinate with brokers and carriers to resolve issues
  • Track employee leaves and manage benefit-related documentation

Employee Support & Communication

  • Act as the primary contact for benefit-related inquiries
  • Clearly explain benefit options, eligibility, and coverage
  • Prepare and distribute benefits communications and materials
  • Support employee leave communication and processes

Compliance & Reporting

  • Ensure compliance with regulations (ACA, COBRA, ERISA, FMLA, HIPAA, ADA)
  • Assist with audits, filings, and reporting requirements
  • Review and validate IRS forms (1094, 1095-C)
  • Maintain accurate records and documentation

Vendor & Data Management

  • Liaise with carriers, brokers, and third-party administrators
  • Maintain and analyze benefits data and generate reports
  • Support cost analysis and utilization tracking

Process Improvement

  • Identify and implement improvements to benefits processes
  • Recommend policy updates and best practices
  • Support ongoing HR and benefits-related projects

Qualifications

  • Bachelor’s degree in Human Resources, Business, or related field
  • 2+ years of hands-on experience in US benefits administration (required)
  • Proven experience managing US-based employee benefits programs and compliance requirements
  • Knowledge of US benefits regulations (ACA, COBRA, ERISA, FMLA)
  • Experience with HRIS and benefits platforms
  • Professional certifications (CEBS, SHRM-CP, PHR) are a plus
  • Experience working with US brokers and insurance providers preferred
