Job description
Key Responsibilities:
- Lead and manage a large document control team, providing direction, mentoring, and professional development to ensure high performance and capability growth
- Develop, implement, and maintain comprehensive document control policies, procedures, and systems across the organization while establishing enterprise-wide standards and delivering training programs for consistent implementation
- Manage and optimize document control software and systems, ensuring proper configuration, maintenance, user access controls, and continuous system improvement
- Review, edit, and maintain accuracy of all documents, including contracts, technical manuals, and workflows
- Manage the flow of documentation within the organization, including distribution, filing, and retrieval of project-related materials
- Maintain confidentiality around sensitive information and terms of agreement
- Prepare ad-hoc reports on projects and document control metrics as needed
Qualifications:
- 15+ years of proven experience in document control, records management, or related administrative roles
- Demonstrated supervisory or leadership experience with team management capabilities
- Proficiency with document control software (e.g., Aconex) and MS Office applications
- Strong knowledge of compliance standards and regulatory requirements in document management
- Advanced organizational skills with ability to manage multiple priorities and maintain meticulous attention to detail
- Excellent written and verbal communication skills with strong problem-solving abilities
