BACKGROUND:

A role in Internal Audit provides a valuable opportunity to deepen administrative, technical and functional skills, develop a deep knowledge of business & operational risk/control management and governance across the Ice Cream business.

You will develop broad stakeholder management skills, influencing skills & communication skills and better understanding of Ice Cream’s Corporate Governance.

JOB PURPOSE:

In this role you will be part of a team managing our Audit Tool, all the administrative and data requirements for the function and the team. The candidate is expected to be:

Proactive, detail-oriented, and self-driven. Strong sense of ownership and accountability. Ability to work under pressure and handle multiple priorities. Professionalism, integrity, and high emotional intelligence.

KEY RESPONSIBILITIES:

1. Audit Management System (AMS) Administration

  • Serve as System Administrator for the Audit Management System (AMS).
  • Manage user access, role provisioning, and regular access reviews.
  • Implement and document system configuration changes in alignment with audit requirements.
  • Ensure AMS adherence to IT General Controls (ITGC), including change management, backups, access controls, and periodic compliance checks.
  • Liaise with IT and the AMS vendor for system enhancements, troubleshooting, and maintenance.

2. Procurement & Vendor Management

  • Track spending against budget, ensuring accuracy and timely documentation.
  • Manage purchase requisitions (PRs), purchase orders (POs), and invoice processing for the Internal Audit function.
  • Coordinate with Procurement, Finance, and approved third-party (3P) audit service providers.
  • Maintain vendor records and support contracting/renewals for 3P audit resources.

3. Executive Support to the Chief Auditor

  • Provide high-quality administrative support, including:
  • Calendar and meeting management
  • Preparation of presentations, reports, and documentation
  • Handling confidential communications
  • Coordinate internal and external stakeholder meetings, including senior leadership interactions.

4. Travel & Expense Management

  • Manage complex travel logistics for the Internal Audit team, including flights, hotels, transportation, and itinerary planning.
  • Support visa applications, travel approvals, and compliance with global travel policies.
  • Assist with expense submissions and ensure adherence to corporate T&E guidelines.
  • Provide end-to-end support during audit fieldwork periods, when travel volume is high.

5. Team Meetings, Events & Activities

  • Plan and coordinate team meetings, workshops, and training sessions.
  • Organize department-wide events, team-building activities, and offsites.
  • Assist with preparation of meeting materials, agendas, and minutes.
  • Maintain team documentation, mailing lists, and shared resources.

6. Calendar & Operational Coordination

  • Manage team-wide calendars for joint events, audit milestones, steering committees, and deliverables.
  • Support operational planning, including audit scheduling, availability tracking, and departmental communications.
  • Act as a central coordination point to facilitate smooth execution of audit projects and internal workflows.

WHAT YOU NEED TO SUCCEED:

  • Bachelor’s degree in Business Administration, Information Systems, Finance, or related field.
  • 3–5 years of experience in administration, system support, or executive assistance; experience supporting audit or finance teams is a plus.
  • Basic understanding of IT systems and comfort in managing user access and system settings.
  • Experience with procurement workflows (PR/PO), invoice handling, and vendor coordination.
  • Exceptional organizational and multitasking skills.
  • High proficiency in MS Office (Outlook, PowerPoint and Excel).
  • Ability to handle confidential information with discretion.
  • Strong communication and stakeholder management skills.
  • Ability to manage international travel arrangements and adapt to changing schedules.
