Our platform brings together market-shaping ideas, growth capital, and ambitious individuals to solve major societal problems. About Aegis Ventures
Aegis Ventures is a next-generation startup studio that partners with entrepreneurs and industry leaders to originate, launch, and scale transformative companies. The Aegis platform brings together market-shaping ideas, permanent growth capital, and ambitious individuals who are driven to solve major societal problems. We aim to build companies with the capacity for vast impact, with an initial focus on artificial intelligence and health technology. Within these verticals, Aegis seeks to create companies that use technology to transform healthcare quality, access, and cost, focusing on innovations that promote seamless continuity of care, patient empowerment, and better-informed clinical decision-making. In parallel with launching our first six successful portfolio companies over the last several years, Aegis has created the Digital Consortium, a group of fourteen leading health systems that will partner with Aegis to co-develop, invest in, and launch new companies.
About the Role
As the Executive Assistant to the Co-Founder and Managing Partner, you will partner closely with the Chief of Staff to support our Co-Founder and Managing Partner across a wide variety of strategic, operational, and administrative tasks. This person will play a critical role in ensuring smooth operations across the studio and a high functioning executive office. In this role, you will partner closely with the Chief of Staff to ensure the smooth and effective function of the studio.
The role will have a unique opportunity to gain direct exposure with all core functions across the studio (Corporate Development, Partnerships, Marketing & Events, Strategic Services) to help drive the highest impact projects and gain a deep understanding of how each function contributes to Aegis’ strategic and operational priorities, with the goal of expanding the reach and effectiveness of the executive office.
This role requires strategic thinking and hands-on execution. Success involves the ability to drive high quality execution across the Managing Partners's office and priorities, increase speed and clarity of decision making, seamlessly coordinate across internal teams and external stakeholders, and take ownership of key initiatives from concept and execution.
We are a small team, so this role will provide the right person with unmatched exposure and visibility into the inner workings of a growing venture studio building disruptive healthcare technology companies. If you are excited by entrepreneurship and startups, driven to succeed in a fast-paced environment, and want exposure to venture and the internal operations of growing businesses, this could be the perfect role for you.
This role is in-person 3 days a week and based in our office located in Midtown Manhattan, New York City.
What You’ll Do
- Strategic Planning and Project Management:
- Coordinate meetings with potential clients, partners, and internal stakeholders, preparing meeting agendas, materials, and follow-up actions, delivering synthesized reports from meetings to the Managing Partner, Chief of Staff, and other relevant stakeholders, and ensuring that priority requests are flagged.
- Own high-priority “special projects” across core Aegis functions to advance key strategic goals for the studio across Corporate Development, Marketing & Events, Partnership, and Strategic Services.
- Stakeholder Communication:
- Serve as a liaison between the Managing Partner and internal/external stakeholders, including board members, investors, partners, and team members.
- Ghostwrite communications (i.e., emails, memos, decks) on behalf of the Managing Partner to foster and enable streamlined, real-time communication.
- Prepare compelling presentations and updates for investors and key stakeholders.
- Administrative:
- Manage and optimize comprehensive calendaring, always looking around corners, anticipating needs, and maintaining an ever-changing schedule.
- Be the face of the company to external stakeholders and partners, able to represent the office and the Managing Partner in a professional and positive way.
- Work in partnership with the Chief of Staff to structure the Managing Partner’s priorities, including preparation and follow-up for meetings in a timely and efficient manner.
- Handle all travel arrangements, including transportation, lodging, obtaining visas, passport renewals, and all other travel documents. Book dining reservations, providing recommendations, and continually optimizing for time.
- Oversee expense management, submitting expenses and travel reimbursements on a regular and timely schedule adhering to company policies.
- Partner with the Chief of Staff to ensure support of the executive committee meetings, agendas, and follow-up actions are addressed.
What You'll Need
- Work experience in roles that partner closely with business operations, strategy, and/or project management at a VC fund, technology company, investment bank, or start-up.
- Independent drive and processes optimization. You look for ways to do work better and improve how we operate.
- Proactive communication and willingness to iterate and partner with key stakeholders.
- Outstanding project management skills focused on hitting deadlines consistently, communicating changes, or asking for help when needed.
- Exceptionally organized with a structured system for completing tasks/projects while constantly re-prioritizing according to evolving needs.
- Strong communication and writing skills, with strong attention to detail and an ability to generate and send client-facing material, as well as an inclination to overcommunicate to ensure nothing slips through the cracks and effectively navigating ambiguity.
- Highly strategic thinker, capable of looking at existing processes, systems, and workflows. Constantly thinking of ways to improve to make the organization more efficient and effective.
- Self-starter with a “no-task-is-too-small-or-big” mindset.
- Meticulous attention to detail while having to shift between tasks and priorities on a regular basis.
- Strong team orientation - able to build strong relationships, contribute to a positive and high-performing culture, and work effectively across diverse stakeholders.
