Job Description: Event & Logistics Coordinator

Position Overview:
We are seeking a proactive and detail-oriented Event & Logistics Coordinator to join our team. This role is perfect for someone who thrives in dynamic environments, has strong problem-solving skills, and is solution-oriented. Working under the Project Manager, the coordinator will play a critical role in event planning, logistics management, and on-ground execution, ensuring seamless operations from start to finish.

Key Responsibilities:

  • Collaborate with the Project Manager to plan and execute events and projects effectively.
  • Coordinate with suppliers, clients, hostesses, and promoters to ensure smooth operations.
  • Handle supplier negotiations to secure favorable terms and maintain strong professional relationships.
  • Supervise event setup mantling and dismantling, ensuring timelines and quality standards are met.
  • Provide on-ground supervision during events, addressing challenges promptly with creative solutions.
  • Monitor and analyze market trends to keep the company competitive and innovative.
  • Assist in business development efforts by identifying new opportunities and partnerships.
  • Prepare and manage event documentation, including schedules, contracts, and supplier agreements.
  • Troubleshoot and resolve logistical challenges in real time during events.

 

Requirements:

  • Proactive, solution-oriented mindset with excellent problem-solving skills.
  • Proven experience in coordinating events, particularly on-site with suppliers, clients, and event staff.
  • Strong negotiation skills with a track record of managing supplier relationships effectively.
  • Hands-on experience with event setup and dismantling processes.
  • Knowledge of market trends and current practices in the events and logistics industry.
  • Ability to work flexible hours, including nights, weekends, and holidays during high seasons.
  • Excellent communication, multitasking, and organizational skills.

Preferred Qualifications:

  • Background in event management, logistics, or a related field.
  • Experience managing hostesses and promoters during events.
  • Familiarity with budgeting and cost control practices.
