Airport Document Control Specialist

Job Description:

Responsible for maintaining, organizing, and managing project and program documentation across its full life cycle, from planning and design through implementation and closeout. Apply the standards, practices, and policies of the City’s document management systems to ensure accuracy, accessibility, and regulatory compliance. Work involves reading and interpreting technical documents, coordinating with project managers, contractors, consultants, and internal stakeholders, and performing quality assurance on electronic and physical records. Requires independent judgment, attention to detail, and strong organizational skills to support multiple concurrent projects.

About the Position:

Join our airport team as a Document Control Specialist and play a key role in keeping critical projects organized, accurate, and moving forward. In this position, you’ll manage and maintain project documentation from start to finish, ensuring information is accessible, compliant, and aligned with established standards. You’ll collaborate with project managers, contractors, and internal teams while performing quality checks, improving workflows, and supporting multiple initiatives at once. Position Hourly Range:

$23.27 - $27.38/hr based on qualifications and experience.

Typical Duties:

  • Monitor, track, and report on documentation status for active projects or departmental programs to support project managers and leadership.

  • Maintain and update project documents using established document management standards and electronic platforms (e.g., SharePoint, Laserfiche, or similar systems).

  • Perform quality assurance reviews on documents, site content, metadata, file naming, and workflow processes to ensure accuracy, completeness, and compliance with document control procedures.

  • Identify opportunities to improve electronic document workflows and enhance the use of existing tools and software.

  • Support compliance with applicable regulatory, grant, and record-keeping requirements relevant to public-sector projects or departmental operations.

  • Develop and maintain document management reports, dashboards, and metrics as requested, including support for business intelligence tools such as Power BI.

  • Conduct searches and retrieve information from the document management system in support of project needs, audits, or public records requests (e.g., GRAMA).

  • Archive physical and electronic records in accordance with applicable retention schedules, maintaining accurate chain-of-custody documentation where required.

  • Coordinate scanning and digitization of hard-copy records, ensuring proper metadata assignment, quality control, and adherence to document management standards.

  • Process lawful disposal or destruction of records per retention schedules and State archives requirements, maintaining required disposal logs.

  • May participate on departmental committees or working groups related to document management or project delivery.

  • Performs other related duties as assigned.

Minimum Qualifications:

  • Associate’s degree or two (2) years of college education with emphasis in business or public administration, records management, construction/project management, or a closely related field; and two (2) years of progressively responsible experience in document control, records management, or project administration. Education and experience may be substituted on a year‑for‑year basis.

  • Ability to read and interpret technical documents such as construction drawings, engineering reports, specifications, or program documentation.

  • Proficiency in Microsoft Office (Word, Excel, Outlook, Teams). Experience with Power Automate or Power BI is desirable.

  • Experience with electronic document management systems such as Laserfiche, SharePoint, or similar platforms.

  • Strong organizational skills and the ability to manage multiple document sets across concurrent projects with competing deadlines.

  • Effective oral and written communication skills, with the ability to work collaboratively with internal staff, external partners, contractors, consultants, and the public.
