SUMMARY: HR Clerk blends assistance responsibilities such as front line support for employees and HR team members, employee services control and maintenance, with duties related to the administration of HRIS and employees personnel files and activities coordination.HR Clerk should be analytical, proactive and have a great customer service and attention to detail. Been an entry level in the department, HR Clerk has the opportunity to be involved and learn about many of the HR processes.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.Assistance ResponsibilitiesProvides front line attention to employees, to solve doubts and assist in to topics related to HR as transportation, cafeteria, among others.Prepares and delivers HR documents such as salary and job certifications, employee records, etc.Administers employee services, such as lockers, transportation, among others.Canalizes requests and complaints from employees, and addresses them to the HRBP's or with the corresponding areas.Receives, files and controls the documentation of personnel files (personnel actions, disabilities, medical records, etc.). Creates personnel files for new employees.Collaborates in the execution of activities organized by the HR department, for staff in general or for specific areas.Prepares presentations and/or videos for organization internal communication.Assists in the orientation process of new employees, through the preparation of documents, contracts, identifications, locker assignment, and transportation information.Assists the HR director and HRBP’s preparing specific documents.Conducts exit interviews for operating personnel when it is required.Carries out the distribution of deliverables (gifts, documents, etc.) for all the staff or for specific areas.Provides support in the recruitment and selection processes of operational personnel, when required.Carries out and follow up on purchase orders of the department.Reviews the transportation billing, and sends the information to the payroll (for employees deductions), and to accounting (for invoice payment).Monitors and maintains the HR billboards of the corresponding buildings.Monitors and assures that internal TV communications are carried out properly.Keeps up to date, the calendar of Human Resources activities / processes.HRIS responsibilitiesProtects confidential information of the employees and the organization, and ensures the integrity of the data in the HRIS (Softland) and Time & Attendance system.Receives requests from managers and supervisors, and prepares personnel actions and changes in the HRIS (Softland) based on those requests in a timely manner.Enters new employee’s information in the HRIS (Softland), and maintains their data as required.Prepares and sends periodic reports or by request, with information from HRIS (Softland) and/or Time & Attendance system, as vacations balance, salaries, benefits, headcount, attendance, among others.Prepares specific salary reviews requested by HR Director or HRBP’s.Controls and keeps organized the HR local shared drives.Synchronizes records the HRIS (Softland) with Time & Attendance system. Identifies inconsistencies and coordinates with the supervisor to solve them.Administers the HRIS (Softland). Creates, modifies, eliminates categories such as job positions, areas, departments, shifts, etc., according to the needs and HR policies.Coordinates with accounting, the application of personnel records in the HRIS (Softland) in order to prepare the system for weekly and bimonthly payroll cycles.

 

EDUCATION AND/OR EXPERIENCE: Advanced student in Human Resources Administration or a related field.Basic level of English. Preferably intermediate-advanced.1 year of experience in office tasks, database management, handling and preparation of documents, control of confidential information.

 

OTHER SKILLS and ABILITIES: Ability to process data in spreadsheets and perform basic analysis (percentages, categorization, etc.).Intermediate knowledge of usingIntermediate knowledge of Microsoft Office tools, including Excel (creation of pivot tables, graphs, use of formulas, etc.), Word (use of mailing, change control, text format, etc.), Power Point and Publisher.Preferably with knowledge in basic video editing programs.Preferably with experience in managing Human Resources Systems, especially in payroll processes.Excellent customer service and interpersonal relationships with all level’s employees.Proactivity, teamwork focus accountability.Analytical and problem solving capacities.Assertiveness.Sense of urgency.Attention to detail.Discretion and confidentiality to handle sensitive information.
