Job description
Administrative Support
Manage the calendar and schedule of the Head of Group Sustainability, coordinating meetings, travel arrangements, and appointments; Ensure smooth communication between the Head of Department and internal/external stakeholders; Maintain office supplies and handle administrative tasks such as filing, correspondence, and minute-taking during meetings.
Stakeholder Management
Act as the key contact person for internal and external stakeholders, including other departments, vendors, clients, and sustainability partners; Coordinate with external stakeholders for meetings, events, and sustainability-related collaborations, ensuring smooth communication and logistics: Respond to inquiries from both internal and external parties, representing the department in a professional manner.
Operations and Documentation
Serve as the custodian of all department SOPs, policies, and documents, ensuring they are updated, organized, and accessible; Assist in the development, review, and revision of SOPs as needed; Ensure compliance with internal governance standards, policies, and guidelines, acting as the main point of contact for governance-related queries.
Finance and Budgeting
Provide support in tracking and managing the department’s budget, expenses and procurement activities; Assist in preparing financial reports, liaising with the finance team to ensure timely processing of payments and budget reconciliation; Assist in drafting contracts, agreements, and procurement documents.
Governance
Be the primary liaison for governance-related matters within the department, ensuring that processes are followed according to internal and external standards; Ensure proper filing and archiving of all governance documents, including audit trails for sustainability projects and initiatives.
Other responsibilities
Assist in coordinating sustainability-related events, workshops, and training sessions; Support the sustainability team with research, data entry, and preparation of presentation materials; Work closely with other departments (e.g., Finance, HR, Compliance) to ensure smooth cross-functional collaboration.
