Job description

Administrative Assistant with Emphasis on Procurement

 

Duties:


• Performs general administrative tasks, to include, but not limited to: printing and running reports, organizing supply drawers, organizing and creating systems for office files, document preparation (e.g. scanning, organizing, printing, copying), sending out items to be imaged, filing, preparing report folders, and some data entry.

• Provides department support on various projects and related tasks, to include, creating PowerPoint slides, formatting and creating Excel files.

• Assisting in writing purchase requisitions; requesting quotes for materials.

• Tracking purchased items, tracking hot inventory, coordinate outside services’ timely pickups and deliveries via contracted services.

• Maintain vendor files; assist in requesting materials be set-up for stock.

• Research disputed invoices for payment based on approved pricing quotations.

• Invoice reconciliation.

• Strong written and verbal communications skills, as well as interpersonal skills. Candidates must be capable of balancing multiple projects.

• Excellent organizational skills to prioritize and balance multiple projects and coordinate project timelines to ensure timely completion with minimal supervision. Seeking self-directed and motivated individual.


Qualifications:

 

Minimum Associates Degree, prefer Bachelor Degree
2-5 years of experience in similar position, emphasis on procurement
Proficient in Microsoft Word/Excel, SAP experience.
Excellent verbal/ written communication skills.
Ability to multi-task and interact effectively in a team environment.
Consistently displays high character and a strong work ethic

M-F 8am to 5pm
