Job description

Aibidia is seeking an ambitious and highly organised People Coordinator (3-month fixed-term contract) to support the delivery of people-related initiatives across our Helsinki, Tampere, and London offices. In this interim role, you will play a key part within Aibidia’s People team, supporting the day-to-day office and people operations across the business.

You will work closely with cross-functional teams to help deliver a seamless, high-quality experience for Aibidia’s employees. From maintaining an excellent office environment and coordinating with external vendors to supporting onboarding and offboarding processes, you will contribute across a broad range of People team activities during this period.

Key Responsibilities

  • Manage facilities maintenance, procurement of office supplies and equipment, monitoring inventory levels and vendor relationships.
  • Plan and execute office events, meetings, and celebrations to foster an engaging work environment.
  • Support the implementation of office and HR policies and procedures to promote a productive and inclusive workplace culture, including proactively making suggestions for improvements.
  • Coordinate onboarding and offboarding processes for new hires and departing employees, ensuring a smooth transition.
  • Provide administrative/ad-hoc support to the People team.
  • Collaborate cross-functionally with various teams to support employee engagement initiatives and events.

Must-have Experience

  • 0-1+ years of general work experience, ideally in a SaaS business.
  • Strong organisation skills with the ability to prioritise and take ownership of multiple projects in a fast-paced environment.
  • Outstanding attention to detail with an ambition to leave no stone unturned delivering an excellent customer experience to our internal customers: Aibidia’s employees.
  • Excellent communication and interpersonal skills, with a customer-service mindset.
  • Ability to work effectively both independently and collaboratively within a team.
  • Desire to make lasting impact within the company.
  • Proficiency in MS Office Suite.
  • Excellent proficiency in written and spoken English and Finnish.
