The role
The Receptionist is the first point of contact for clients, visitors, and colleagues, delivering a professional, discreet, and welcoming front-of-house service in a legal environment. The role is responsible for managing reception operations, handling calls and enquiries, coordinating meeting rooms, and supporting lawyers and business professional's teams with day-to-day office requirements. The Receptionist represents the firm’s values and brand, maintaining the highest standards of professionalism, confidentiality, and client service at all times.
Key responsibilities
- General running of Reception area
- Answering and management calls
- Registering visitors with building management and greet upon arrival
- Coordinating meeting room bookings
- Preparing meeting rooms with necessary IT (WebEx and Microsoft Teams) and catering requirements
- Managing access cards for employees & visitors along with parking registrations
- Managing catering & supplies and branded stationery inventories
- Logging and processing of courier requests and regular mail
- Updating originals tracker and supporting lawyers with originals processing
- Handling short & long-term accommodation bookings for employees
- Co-ordinating transport requests with driver calendars and make bookings with transport vendors
- Processing supplier invoices with relevant cost assignments
- Managing petty cash claims
- Coordinating with vendors regarding supplies and equipment
- Coordinating desk assignments for visitors
- Arranging building access permits for vendors & contractors
- Manage the end‑to‑end archiving process for original documents
Your experience
- Previous experience in a corporate reception environment and with extensive administrative experience (professional services experience is a plus)
- Excellent communication skills and the ability to demonstrate good use of initiative and a proactive approach
- Well organised, efficient and able to prioritise a high volume of tasks both daily and ongoing
- Resilient and works well under pressure at all times, maintaining a calm exterior towards Clients and colleagues
- Intelligent and practical approach to problem solving, being able to take responsibility for issues that may arise and following them through to successful resolution
- Technically minded, and be able to pick up how to use office equipment and software and adapt it to best serve the needs of the office, particularly with regards to meeting room IT requirements.
- Arabic language skills are beneficial but not mandatory
- Typing speed of at least 60 words per minute with good accuracy
- Confident in Microsoft Word, Excel, and PowerPoint
- A-levels (or equivalent)
