Job description

The Field Administrator will play an essential role in WSB’s growth by assisting the Operations team with multiple projects and duties, including but not limited to systems management, recruiting support, inbound/outbound calls, time auditing, and general operations support. The Field Administrator must be comfortable performing multiple tasks effectively with a focus on timeliness and responsiveness, high levels of diplomacy, sound judgment, and discretion when dealing with customers and other department staff.

  • Provide daily reporting for the operations team.
  • Track attendance and add appropriate documentation to employee file in personnel system.
  • Assist facility leadership in schedule creation and send daily.
  • Update personnel records (i.e. new hire information, terminations, employee information, etc.)
  • Ensure team member certifications are accurate and up to date in system to maintain compliance.
  • Enter and submit weekly payroll.
  • Attend scheduled calls and meetings (digital and in person)
  • Monitor safety reporting submissions

Here is a typical day: 

Phase I - Primary duties in the morning. 

  • Flagger no call no show list review.  
  • Manage attendance of flaggers so we can balance the hours better. Meaning, managing attendance so if we have troublesome employees, we aren’t placing unreliable flaggers in leu of good flaggers being placed on standby. This includes working with FM to coach/discipline these flaggers. (John’s report is reviewed every Wednesday to balance everyone getting a min of 30hrs). 
  • Managing flagger PTO, and days they can work. This should be in tandem with HR to keep updated tracking on who is available to schedule and on what days.  
  • Payroll review for shuttle and mobile flaggers.  

Phase II - Primary duties mid-day through afternoon 

  • The scheduling and placement of Flaggers. Routes need to be broken down by van to reach 8 minutes between drop sites. Additionally, knowing how to route in the most cost conscious and time efficient manner. 
  • Verifying the jobsite addresses are correct. This will eliminate vans dropping shuttle flaggers at the wrong address and having to delay drops because they must go back and reroute them. 
  • Placement of mobile flaggers as well. Find and execute the balance between mobile vs shuttle flaggers.  
  • Placement and cancelation of MTS as needed. 
  • Finalizing the shuttle routes prior to when final schedule is posted.  
  • Final review and approval of all flagger placement before the final schedule is posted.  
  • 1-3 years of office administration experience
  • Understand local wage and hour laws.
  • Effective communication and collaboration skills with the ability to take direction.
  • Proficient using technology to perform document management, reporting, review, and editing.
  • Ability to read and interpret written information clearly and accurately.
  • Attention to detail and organizational skills with the ability to manage multiple priority items and track extensive detail.
  • Proactive and confident to work independently, while maintaining strong teamwork skills

 

  • $60,000-$65,000 salary
  • Benefits-eligible 1st of the month following hire.
