Job description

The Executive Assistant provides high-level administrative and organizational support to executive leadership. This role requires professionalism, discretion, strong attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The Executive Assistant serves as a trusted partner, helping leaders operate efficiently and stay focused on strategic initiatives.

Key responsibilities include:

  • Provide direct administrative support to senior executives, including calendar management and meeting coordination
  • Manage and prioritize executive schedules, appointments, and deadlines
  • Coordinate travel arrangements, including flights, hotels, ground transportation, and expense reimbursements
  • Prepare, review, and submit expense reports, invoices, and other administrative documentation
  • Answer, screen, and route incoming calls and correspondence professionally
  • Draft, proofread, and format emails, reports, and presentations as needed
  • Maintain organized filing systems for documents, records, and confidential information
  • Support special projects and assist other departments as requested
  • Exercise sound judgment and maintain strict confidentiality at all times

We’re looking for someone who is detail-oriented, dependable, and confident working with executive leadership. You bring a service mindset, strong communication skills, and the ability to juggle multiple priorities with discretion.

Qualifications include:

  • Associate’s degree (A.A.) from a college or technical school or
  • Four years of related experience supporting C-level executives or senior leadership
  • An equivalent combination of education and experience
  • Excellent written and verbal communication skills
  • Exceptional organizational and time-management abilities
  • Proven ability to maintain confidentiality
  • Proactive problem-solver and ability to adapt quickly
  • Proficiency with Microsoft Office (Outlook, Word, Excel, Power Point)
  • Strong attention to detail and time-management skills
