Job Title: Sr. Executive Assistant and Office Operations Manager
Location: Menlo Park, CA. Hybrid – onsite 3 days/week.
Reports To: CEO
The Senior Executive Assistant & Office Operations Manager plays a critical role in supporting the CEO and selected members of the Leadership Team, enabling them to focus on strategic priorities and company growth. This position is ideal for a highly organized, proactive professional who thrives in a fast-paced environment, enjoys managing logistics, and is energized by creating seamless operations and engaging company events. The role requires exceptional professionalism, adaptability, and the ability to handle sensitive information with the utmost discretion.
Key Responsibilities:
Executive & Administrative Support (80%)
- Executive Support: Manage calendars, coordinate domestic and international travel, process expense reports, and maintain critical documents with a high level of accuracy and attention to detail.
- Meeting & Event Planning: Lead the planning and execution of offsite meetings and company-wide events, including venue selection, logistics coordination, and agenda development to ensure successful, high-impact experiences.
- Communication Management: Serve as a key liaison between the executive team and internal/external stakeholders, ensuring clear, timely, and professional communication.
- Culture & Engagement: Champion a positive and inclusive workplace culture by organizing team-building activities and initiatives that enhance employee engagement and morale.
Office & Operations Support (20%)
- Oversee daily office operations to ensure a smooth, efficient, and well-functioning environment
- Manage office supplies, kitchen inventory, and vendor relationships
- Address employee requests and resolve minor operational issues in a timely manner
- Maintain an organized and productive workspace that supports overall team effectiveness
Qualifications
- Bachelor’s degree or equivalent relevant experience
- 5+ years of supporting C-level executives, including CEO, preferably within a startup, biotech, or life sciences environment
- Exceptional organizational and prioritization skills, with the ability to manage multiple competing demands effectively
- Strong judgment and proactive mindset, with the ability to anticipate needs and operate independently
- Demonstrated adaptability and execution in a dynamic, fast-changing environment
- Excellent written and verbal communication skills, with strong attention to detail
- High level of integrity and discretion in handling confidential information
- Advanced proficiency in Microsoft Office (Outlook, PowerPoint, Excel, Word)
- Resourceful, solutions-oriented approach with a focus on continuous improvement
- Passion for fostering workplace culture and enthusiasm for planning and executing events
Compensation:
- An appropriate financial package will be developed for the successful candidate to include a competitive base salary and equity, with a performance-related bonus opportunity.
- The anticipated salary range is $146,000 – $161,000. The final salary offered to a successful candidate will be dependent on several factors that may include but are not limited to the type and length of experience within the job, type and length of experience within the industry, education, etc. Oruka is a multi-state employer and this salary range may not reflect positions that work in other states.
