Job description

As our Conference & Event Planning Executive (Event Coordinator), you will be joining the commercial heart of our hotel. This is a 12-month parental leave cover commencing June 2026. Reporting to the Director of Sales - Conference & Events, you will: 

  • Be responsible for the organisation of secured conference & events business, from point of event confirmation through to post-event follow up
  • Develop successful professional relationships with clients and maintain effective and timely communication 
  • Preparation of Event Planning documents as required – including Request for Information, Event Orders, Invoices & Floorplans
  • Ensure progress deposits and final accounts are invoiced and payments received in a timely manner, complete billing and posting of charges for each event
  • Coordinate between Conference & Event and operational departments and our AVD partner company to ensure preparations for conferences are completed smoothly 
  • Coordinate and host site inspections, pre-conference meetings and post-conference reviews with clients
  • Proactively seek feedback from in-house and past event clients to ensure client satisfaction and to generate repeat business

About you:

  • Passionate about people, with a natural ability to connect with diverse groups 
  • Excellent customer service skills with the ability to easily build rapport with internal and external clients
  • Adaptable and a quick thinker with problem solving skills and a proactive approach to assisting where possible
  • Organised and with high attention to detail and the ability to coordinate multiple events simultaneously
  • Knowledge of or previous experience in Hotel Event Planning is an advantage
  • Previous Hotel Operations experience is an advantage
  • Alternatively, experience in a coordination role in a standalone function space or prior experience in a hotel environment 
  • While this position generally operates Monday to Friday, the successful candidate must be available to work across a 7-day roster as required by operational demands
  • DELPHI and OPERA Cloud system experience is desirable but not vital
