Position Summary Department: Orlando Health Medical Group - Radiologist Administration Status: Full-Time | 40 hours per week Shift: Monday - Friday, 8am - 5pm Title: Sr. Provider Scheduling Manager ***Address of Practice: 52 W Underwood St Orlando, FL 32806*** Position Summary Provides support to physicians, advanced practice providers, and operational leadership by developing and coordinating provider assignments to ensure appropriate coverage while ensuring provider productivity and efficiencies. Responsibilities Essential Functions • Directly responsible for greater than 50 provider schedules and coverage, to include all office and hospital facilities. • Demonstrates and practices an understanding of practice schedules and provider staffing needs to ensure a balance of practice productivity and appropriate specialty clinics, office, and hospital coverage • Develops and maintains provider schedules, including outpatient assignments, inpatient assignments and other ad-hoc schedules (e.g. ER Call, reading schedules, Supervising MD) ensuring appropriate and equitable coverage maintaining provider efficiency and productivity. • Creates, distributes, and maintains an office and hospital provider schedule consistently a minimum of 6 months in advance • Creates and maintains provider workforce planning with a focus on space optimization and utilization. • Communicates individual contract obligations and assists providers as needed to ensure compliance with contractual and policy obligations (e.g. total holiday and weekends worked, etc.). • Executes judgement, critical thinking, problem solving, and knowledge related to provider clinical schedules by evaluating the impact of hospital and office efficiencies, operations, and productivity • Facilitates provider schedule changes by engaging operational leadership and ensuring maximization of efficiency, coverage, and productivity • Implements and partners with operational leaders on directives/strategies related to provider scheduling, including but not limited to patient access initiatives. • Develops and maintains department provider policies related to hospital requirements, reading assignments, specialty minimums, and other departmental guidelines as assigned. • Is responsible for provider holiday and vacation requests, approvals, reconciliations, and timecard submission • Serves as a liaison between provider scheduling vendors to address any issues and participates as a subject matter expert on new initiatives (ie PerfectServe, QGenda). • Serves as a liaison between providers and team members to communicate changes that impact clinical schedules. • Serves as a liaison between providers and central scheduling to ensure clinical templates are accurately implemented and monitored. • Possesses analytical, problem solving, and critical thinking skills. • Maintains reasonably regular, punctual attendance consistent with Orlando Health policies, the ADA, FMLA and other federal, state and local standards. • Maintains compliance with all Orlando Health policies and procedures. Other Related Functions • Develops and distributes daily and weekly practice and hospital schedules to the supporting teams. • Inputs hospital consults and call coverage schedules for providers and support staff into PerfectServe. • Works directly with the leadership team to manage immediate coverage needs due to emergencies, etc. • Coordinates consistent supervising provider coverage for diagnostic or clinical services in the outpatient facilities. • Provides provider assistance, cell phone application support, and training on the provider scheduling system (e.g. Qgenda). • Prepares and analyzes statistical patient volume reports. • Travels to office locations. Qualifications Education/Training Bachelor’s degree is required. High school diploma or equivalent and four (4) years of experience in a healthcare environment (in addition to the requirements listed in the Experience section) may substitute for a bachelor’s degree. Licensure/Certification None. Experience Three (3) years of health care experience, to include experience with physician or patient scheduling, is required.
