Apex is seeking a detail-oriented Administrative Assistant to support our team in Tigard, OR. This is a great opportunity to join a growing engineering and environmental consulting firm where you’ll play a key role in keeping day-to-day operations running smoothly. In this position, you’ll work closely with the West Coast Administrative Coordinator, gaining exposure to a wide range of administrative functions while supporting local teams. The ideal candidate is highly organized, adaptable, and thrives in a fast-paced, collaborative environment. This is a Part Time Variable position, and scheduled hours will vary. Commuting between offices in Tigard and southwest Portland is required, and this position may visit other offices in Oregon and southwest Washington.

Your Responsibilities as an Administrative Assistant:

  • Provide basic in-office support in the Tigard and southwest Portland offices, including but not limited to processing mail, ordering supplies, coordinating fleet maintenance, arranging catering, and other administrative duties.
  • Provide remote administrative support to other Oregon offices, such as ordering supplies, arranging catering, assisting with forms, coordinating with vendors, etc.
  • Support office safety inspections and communication.
  • Support in-office and off-site employee events such as summer and winter parties.
  • Assist with special administrative projects as assigned.
  • Potential to support Apex’s Client Relationship Management tool, which would include data entry, maintenance and cleanup.

What we're looking for:

  • Minimum of a high school diploma.
  • 1+ years of experience within a professional services environment preferred.
  • Administrative experience such as familiarity with standard office concepts, practices, and procedures.
  • Experience with data entry, document preparation, and document management.
  • Strong attention to detail.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office suite (Word, Excel, PowerPoint, and Outlook).
  • Ability to successfully perform multiple responsibilities simultaneously.
  • Demonstrated history of stable employment and excellent attendance and punctuality.
