Job Description:

Full-Time Permanent Position

Hours: 32 hours; Saturday-Sunday 8:00am-4:00pm, Monday-Tuesday 4:00pm-12:00am

POSITION PURPOSE SUMMARY: This role is responsible for providing a range of administrative, clerical, and reception support duties to ensure the effective operation of a department or Ministry Unit. The role contributes to the broader mission and values of The Salvation Army, upholding standards of service that reflect its spiritual and social commitment to the community.

ACCOUNTABILITIES: Incumbents may perform all, some, or similar range of duties as below.

  • Provide general administrative support, including answering and directing telephone calls, greeting and assisting visitors, managing incoming and outgoing mail, and maintaining a clean and organized office environment.
  • Prepare and process documents such as correspondence, reports, schedules, meeting agendas and minutes, statistical submissions, and presentation materials.
  • Maintain accurate physical and electronic filing systems, databases, records, and registers; track inventory and order office and program supplies as required.
  • Assist in organizing calendars, meetings, events, and staff schedules; coordinate travel arrangements as needed.
  • Support financial activities including petty cash handling, receipting, invoice processing, and basic accounting entries.
  • Provide program-specific administrative assistance, such as updating client data, managing intake or registration processes, and coordinating transportation or volunteer activities.
  • Maintain confidentiality of sensitive information and uphold professional standards in all interactions with clients, staff, and community members.
  • Contribute to the efficient operation of the department by supporting process improvements, participating in team meetings, and engaging in ongoing training and development.
  • Represent the organization in a respectful and professional manner, reflecting the mission and values of The Salvation Army.
  • Other related duties as assigned.

CRITICAL RELATIONSHIP MANAGEMENT: Internal: Ministry Unit leadership, staff, and volunteers. External: Contractors, vendors, community members and community groups/organizations, other external agencies, guests/clients of ministry unit in person.

MANAGERIAL RESPONSIBILITIES: Reports directly to the Shelter Leadership.

FINANCIAL AND MATERIALS MANAGEMENT

  • May be involved in minor financial transactions on a regular or relief basis and is expected to exercise sound judgment in the use of organizational and personal resources.
  • May be authorized to handle small amounts of cash, including disbursements and collections.
  • May be responsible for maintaining and tracking fixed asset inventories.
  • May be responsible for the proper care and maintenance of office equipment.
  • May have access to confidential and sensitive information and is expected to maintain strict confidentiality at all times.

WORKING CONDITIONS

  • Work is primarily performed in a general office environment within the ministry unit.
  • The role requires frequent sitting and keyboarding, with occasional standing, walking, bending, and lifting of items up to 20 lbs.
  • Regular duties include computer-based tasks such as word processing, responding to emails, directing telephone calls and visitors, and actively listening. Occasional tasks may include sorting mail, filing, conducting research, and drafting correspondence.
  • The work environment is generally positive; however, the incumbent may occasionally interact with individuals displaying challenging behaviours.
  • This position may occasionally require local travel.

Education, Qualifications and Certifications

  • Completion of Grade 12 and administrative coursework is a minimum requirement for this role.

Experience and Knowledge Requirements

  • Up to one year of related experience is a minimum requirement for this role, including reception and clerical experience.
  • Experience dealing with office equipment and tools.
  • Basic knowledge of Office365.
  • An alternative level or combination of education and experience may be acceptable.

  • Work in compliance with OH&S Act and Regulations and abide by The Salvation Army’s health and safety policies and procedures.

  • Ability to undergo applicable screening and background checks successfully that are satisfactory to The Salvation Army, in its sole discretion (i.e., The Salvation Army Abuse Registry) and provide an original copy of a Background Check with vulnerable sector screening.

Compensation: The target hiring range for this position is $20.82 to $21.93 with a maximum of $23.03.

Placement in the salary range will be based on factors such as market conditions, internal equity, and candidate experience, skills, and qualifications relevant to the role.
