Compensation Range:

The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.

Responsibilities:

The Pediatric Mobile Clinic Initiative will provide primary pediatric care in a medically outfitted 38-foot Recreational Vehicle with operations expected to begin in Summer 2026. This position requires driving and travel throughout the City of Rochester, Monroe County, and other counties within Western NY. Responsible for driving a company-owned vehicle throughout the region as assigned. Handles various duties, including greeting patients and families, collecting required registration data, performing check-in and checkout procedures, verifying insurance, as applicable, and assisting with care coordination. Responsible for the coordination of vehicle care and maintenance, including identifying and communicating vehicle deficiencies, interior and exterior cleanliness, and medical supply stocking. Scheduled days and shifts may vary, standard M-F 8am-5pm. Flexibility to work evenings and weekends, with notice, is required.

Essential Functions:

  • Greets patients and families. Arrives patients in billing and scheduling systems.  Verifies patient identification using two identifiers.  Identifies and corrects registration errors, including completing missing registration data. Obtains necessary information from the patient and/or their representative, including health history paperwork and patient surveys.  Completes the registration process. Schedules, reschedules, and cancels patient appointments.  Completes any correspondence or forms involved with appointment scheduling. 
  • Accurately sets up new patient records in Epic. Reconciles patient data when multiple accounts exist to combine records. Confirms or collects patient demographics and enters into appropriate system(s).  Verifies insurance eligibility/coverage and obtains the necessary pre-certifications/authorizations, when applicable.  Identify services where no payment source has been identified to be followed up by Patient Navigation or Social Work teams. 
  • Identifies and assesses patients’ needs (e.g., interpreters, transportation, etc.). 
  • Remains visible and accessible to patients and their families during site visits.  Monitors reception and vehicle surrounding areas.  Keeps patients informed of schedule progress and delays. Protects Personal Health Information (PHI) as
  • indicated by HIPAA regulations. Ensures cleanliness and order in the reception area.  Identifies solutions to improve patient satisfaction.
  • Drives the company-owned vehicle in a safe and responsible manner. Ensures the vehicle is adequately fueled and mechanically sound, completing pre- and postinspections before and after each use, with support from skilled maintenance providers.  Coordinates and tracks routine vehicle maintenance, as required.  Cleans vehicle daily and stocks required supplies, as needed.  Responsible for facilitating site assessments for parking location and safety considerations, as well as on-site access logistics. Identifies areas of improvement and communicates to appropriate supervisor.
  • Manages incoming calls while providing necessary information.  Communicates with external customers to help support vehicle maintenance and supply ordering. Works with both UR and non-UR physician offices and other departments to help support patients with navigating appointments or other required needs. Manages multiple processes in the medical system, including messaging and In Basket.
  • Provides training to new staff in all aspects of work practices related to the department’s mobile vehicle services, including orientation, registration, scheduling, reception, and customer service.
  • Assists clinical personnel, as needed. 
  • Other duties as assigned.


Minimum Education & Experience:

  • High School Diploma or equivalent and 2 years relevant experience in a healthcare or customer service setting required. Associates degree preferred.
  • Or equivalent combination of education and experience.
  • 2 years of relevant experience in a healthcare or customer service setting required


Knowledge, Skills & Abilities:

  • Basic computer skills required
  • Excellent customer service and communication skills required
  • Flexibility for work location and hours of operation required
  • Experience with Healthcare Information Management systems preferred
  • Experience supporting/serving under-resourced or underserved communities, or partnering with community-based organizations preferred
  • Experience operating an RV or commercial vehicle required


Licenses and Certifications:

  • New York State Driver's License with acceptable driving record per our insurance carrier required
  • Commercial (CDL) New York State Driver’s License preferred
