We are currently seeking an Executive Assistant to support our regional leadership team. In this role, you’ll be a key partner in keeping daily operations running smoothly, arranging travel, coordinating priorities, and ensuring strong communication across teams. You’ll also take the lead on planning and executing conferences, meetings, and team events, handling logistics end-to-end. From travel management to event coordination, you’ll play a critical role in keeping our leaders organized, aligned, and set up for success in a fast-paced environment.
What you’ll be doing:
- Manage calendars, travel and scheduling for regional leaders
- Supervise the Reception/Office Coordinator staff
- Support with day-to-day administrative needs, prioritization, and coordination
- Plan and execute events, including conferences, meetings, and offsite gatherings
- Coordinate travel arrangements, agendas, and logistics for leadership and regional teams
- Prepare presentations, reports, correspondence, and expense reports
- Track key initiatives, timelines, and follow-ups to ensure alignment and execution
- Act as a liaison between Regional VPs and internal teams to keep communication flowing
- Assist with general office coordination and administrative support for the Irvine Home Office
- Maintain professionalism and flexibility in a fast-paced environment
Qualifications:
- 4–6+ years of administrative experience, preferably supporting senior leaders or regional teams
- Bachelor’s degree preferred or equivalent experience
- Strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Experience with event planning and logistics coordination (conferences, team events, offsites)
- Highly organized with strong attention to detail and ability to manage multiple priorities
- Strong communication skills and professional presence
- Sound judgment, discretion, and ability to handle sensitive information
- Flexible and adaptable; occasional evenings/weekends may be required
- Active role: walking, bending, lifting (up to 20 lbs.)
- Comfortable working around animals and pets
Schedule: Monday – Friday (flexibility required; occasional evenings/weekends as needed)
