Job description

As the Export Documentation Coordinator, you will be responsible for managing the preparation, verification, and processing of export documentation to ensure compliance with international trade regulations and smooth execution of export shipments. As part of this 1‑year contract, you’ll be a great fit if you bring strong accuracy in your work, communicate with ease, and already understand how export documentation processes operate.

What you’re responsible for:

  • Preparing and reviewing export documents, including commercial invoices, packing lists, certificates of origin, and shipping labels, in accordance with the destination country’s requirements and internal policies.
  • Ensuring the accuracy and completeness of export documentation to facilitate customs clearance, shipment tracking, and to avoid delays or penalties related to non‑compliance.
  • Staying informed about changes in export regulations and trade compliance requirements to ensure adherence to applicable laws and regulations.
  • Liaising with internal departments such as Sales, Shipping, and Finance to obtain the information and documents required for export operations.
  • Communicating effectively with external stakeholders, including freight forwarders, customs brokers, and customers, to coordinate documentation requirements and resolve any issues or discrepancies.
  • Maintaining organized records of export documentation, including electronic and physical files, for audit and historical reference purposes.
  • Generating reports on export documentation status, shipment volumes, and compliance indicators as required by management.

To join our team:

  • You have proven experience in coordinating export documentation or in related roles within the logistics or international trade sector.
  • You have strong knowledge of export documentation requirements, customs regulations and INCOTERMS.
  • You have excellent verbal and written communication skills in French and English, with the ability to interact professionally with internal and external stakeholders.
  • You have proficiency in MS Office applications (Word, Excel, Outlook) and familiarity with export documentation software or ERP systems.
  • You have post‑secondary education, preferably in Business Administration, Transportation or Logistics, considered an asset.
  • You have strong attention to detail and the ability to maintain accuracy while working under pressure and meeting tight deadlines.
  • You have solid organizational and time‑management skills, with the ability to prioritize and multitask effectively.
