General Admin Support

  • Manage leaders’ calendars, schedule appointments, and coordinate meetings.
  • Prepare and edit correspondence, reports, and presentations.
  • Organize and facilitate meetings, including logistics and agenda preparation.
  • Arrange travel itineraries, accommodations, and transportation for executives.
  • Assist in budget management and expense reporting. Process purchase requests, invoices and payments.
  • Assist Shanghai based ICS level employees with onboarding and offboarding processes, daily admin support, and union related item distribution and collection.
  • Assist in arranging travel for global visitors, including but not limited to booking flights and hotels, and coordinating transportation.

Events Support

  • Lead admin network or support task teams to facilitate events.

Communication Related Support

  • Establish and maintain distribution lists for business.
  • Distribute OA in accordance with Marketing Communications guidelines.

Business Data Support

  • Support ad hoc business data requests, including data extraction, collection, consolidation, and basic analysis.

Technical/Professional Knowledge and Skills:

  • 5+ years of work experience, with experience to support senior leaders at regional or global level. Must be fluent in English speaking and writing
  • Proficient in PowerPoint and excel.
  • Organizational skills, attention to details. Project management experience is a plus.
  • Familiar with international travel arrangement.
  • Effective communication with global teams.
  • Proactive, supportive, and positive attitude. Great interpersonal skills.
  • Comfortable learning and working with sales operations data analysis.
  • Strong attention to detail, organizational skills, and a proactive approach to solving problems.
  • Collaborative mindset and eagerness to learn

 

Education/Certifications:

    • Bachelor's degree in relative discipline.
