In Monks we are looking for an Office Assistant to join our Facilities Team for Buenos Aires Offices. This team is responsible for guaranteeing the proper functioning of workspaces and provide comfort to our BA.Monks.

In this role as Office Assistant, you will have some mayor responsibilities:

  • Provide support to the Site with operational activities in maintenance, cleaning, operations, accounting and finance, vendor oversight, equipment and supplies, occupancy services and proactively develop and maintain client relationships ensuring that expected service levels are achieved.
  • Coordinates vendor relationships, office cleaning and cafeteria services and invoice review. Also work on tasks including space planning, furniture design, workstation relocation, purchasing of office/building supplies, stocking, building safety, and a wide range of facility support requests
  • Be aware of and comply with Information Security controls and activities in line with the defined policies and procedures and aligned with the Information Security strategy.
  • Establish procurement procedures and maintain inventory of office supplies.
  • Manage logistics of office reorgs/moves
  • Serve as primary point of contact for office-related needs including facilitating communication to staff about office-related changes and updates, acquiring promotional items for new hires and business partners, etc.

In this role you will also have to:

  • Build strong relationship with vendors, coordinate scheduling of work, and ensure work is performed to contract within Monks standards.
  • Collaborate with all the Monks in booking system related issues (workstations, meeting rooms, parking lot, over-booking, or special needs)
  • Ensure contract deadlines due not expire and review all invoices for accuracy and timeliness of payment.
  • Arrange travel and accommodations.
  • Collaborate with departments to ensure high-level of support to meet customer needs.
  • Partner to efficiently deliver Mxnks events.
  • Collaborate with the cleaning team on all day-to-day office activities.
  • Perform other Facility management assignments as described by team and manager.

Skills & Qualifications:

  • +2 years of prior experience in facilities, property management or related field preferred.
  • Vendor oversight experience.
  • Good written and verbal communication skills.
  • Excellent planning and organizational skills, as well as ability to prioritize workload using good judgment, while balancing the need for an immediate response with accuracy and completeness of information.
  • Detail-oriented with strong problem-solving skills and the ability to identify, analyze, and resolve problems, driving solutions to completion.
  • Ability to work under minimal supervision and manage multiple tasks/projects simultaneously, while meeting demanding deadlines.
  • Self-starter who can work independently and within a team environment.
  • Seek ways to constantly reduce costs and improve operational standards.
  • Comfort working in fast-paced and collaborative environment with ability to maintain professional composure under pressure
  • Hands-on experience with standard office equipment (e.g., printers, scanners)
  • Creative mindset with energy to deliver new employee experiences and events
  • Intermediate English level.
