Overview The Executive Assistant is responsible for providing executive support to the highest levels within the organization. This role is responsible for understanding the structure and operation of the company to manage the executive’s meeting cadence, prioritize & respond to inquiries, and resolve issues proactively and with minimal supervision. The Executive Assistant interfaces with and supports communications and initiatives across the organization. The incumbent welcomes and thrives in a fast-paced, dynamic environment and is a diplomatic, composed, and creative problem solver. They are exceptionally well-organized, have previous project management experience, and proven ability to manage internal and external communications for executives. This person applies thoughtful judgment to complex situations and finds the most optimal solutions or alternatives that move the organization and leader toward business-focused outcomes. Responsibilities Manage the executive’s calendar, including making appointments and prioritizing the most sensitive matters Organize meetings, including scheduling, sending reminders, and organizing catering when necessary Create and edit internal and external presentations, reports, collateral, and other written communications Interact with internal team members responding timely and appropriately to meeting and/or information requests Coordinate and prepare Board meeting packages, meetings, and bi-annual planning sessions. Gather appropriate materials from department heads in preparation for meetings and preparations Manage ad hoc projects and analysis for the department as needed Book and arrange travel, including prioritizing itineraries, for executives and board members. Handle conference room set-up including telepresence meeting set-up for virtual and hybrid team members Prepare reports, collect and analyze information; prepare presentations using software applications (e.g. Excel, Power Point, etc.) Manage and maintain expense reports in a timely and accurate manner Functional Competencies Intermediate to advanced Microsoft Word, Excel, SharePoint, and Power Point skills Advanced experience with Outlook email and calendaring program Excellent oral and written communication skills Exceptional interpersonal skills with positive, can-do attitude Demonstrated ability to handle confidential information with discretion Ability to handle complex assignments using considerable judgement, initiative, and critical thinking Proactive, with detail and results orientation Follow through on projects and commitments with speed and efficiency Forward thinking, plan effectively against future needs with a process-minded orientation Demonstrated ability to achieve results and meet deadlines with minimal direction Effective time management and ability to multitask Qualifications 5 + years administrative assistant experience supporting c-suite level executives Bachelor’s degree or equivalent experience is preferred This job is a fully on-site role at our Dublin, CA headquarters Target Base Pay $41.51- $48.83/ hr Compensation at Patelco Please note that the salary information is a general guideline only.
