The Receptionist serves as the first point of contact for employees, visitors, and guests. This individual ensures a professional and welcoming experience at the front desk while managing daily administrative and operational support functions. The ideal candidate will be personable, organized, and capable of handling multiple priorities in a fast-paced, high-visibility environment.
The Receptionist responsibilities include but are not limited to:
Front Desk & Visitor Management
- Greets and assists all visitors, employees, and guests in a professional and courteous manner.
- Manage visitor check-ins and security access procedures.
- Answer and route incoming calls, emails, and inquiries promptly and accurately.
Maintain the reception area and lobby to ensure a clean, professional appearance at all times.
Candidate and Employee Support
- Conduct I-9 employment eligibility verification for new hires in compliance with federal regulations.
- Escort candidates and guests to interview or meeting rooms, ensuring a positive experience throughout their visit.
- Support HR and Talent Acquisition with scheduling logistics and onsite interview coordination.
- Responsible for employee badge creation and issuing.
Meeting Coordination & Office Services
- Partner with internal teams to schedule and prepare conference rooms for meetings.
- Coordinate catering requests for meetings and events, including setup and teardown.
- Support facilities and operations teams with general office maintenance and supply management as needed.
- Manages invoice coding for facilities.
Required Experience and Skills:
- High school diploma or equivalent required; associate degree or higher preferred.
- Minimum 2 years of experience in an administrative, front desk, or hospitality role.
- Strong interpersonal and communication skills with a customer-service mindset.
- Ability to handle confidential information with discretion and professionalism.
- Proficiency in Microsoft Office Suite and familiarity with office technology systems (badging, visitor management, conferencing tools).
- Well-organized, dependable, and adaptable to changing priorities.
Selected incumbent will be placed into the position that best suits their abilities and experience level.
