About the Role
The method is operational. Tight project plans, clean budgets, managed vendors, reliable execution, and data on what's working. Every cultural output is the result of a well-run operation behind it. You own that operation.

- You have full ownership of the Amsterdam office and the WeWork relationship. Day-to-day issues are resolved by you without needing escalation.
- You have run at least one company-wide event end to end and have a structured review of what worked and what didn't.
- You have a documented overview of the EX budget, current vendor stack, and the recurring cultural moments throughout the year.
- You have built the rolling events and comms calendar for the next two quarters.
Your first year
- Office attendance is up and people choose to come in. You can show the data behind it.
- Every major event has been planned with intent, executed on time, on budget, and reviewed afterwards. The annual offsite has happened and landed.
- Internal comms across Slack, email, and Notion look and feel like Workwize. Templates are consistent. Cadence is reliable.
- The EX budget is fully owned: forecasted, tracked, and reported with no surprises.
- Vendor relationships are managed proactively, with annual reviews and documented terms.
Key Responsibilities
The office as a destination heading:
- Own the Amsterdam office day-to-day: cleanliness, supplies, atmosphere, meeting rooms, and the WeWork relationship.
- Build programming that gives people reasons to be in: weekly lunches, demo days, Friday socials, themed weeks.
- Bring Workwize identity into the space: branding, signage, swag stations, the small details that make it feel like ours.
- Track office attendance and gather feedback to understand what's working and what isn't.
Events and off-sites:
- Own events end-to-end: planning, vendors, logistics, budget, attendee comms, wrap-up.
- Run a rolling calendar of All Hands, monthly socials, team moments, onboarding lunches, and the annual offsite.
- Brief every event with intent: what we want people to feel, remember, and take away. Then execute against it.
- Review every event after the fact: what landed, what didn't, what changes next time.
Internal comms:
- Own the distribution and formatting of internal communications across Slack, email, and Notion: company updates, event announcements, All Hands follow-ups, onboarding comms.
- Maintain the comms calendar and flag upcoming moments to the People team in advance.
- Maintain templates and formatting standards that feel like Workwize.
Budget, data, and vendor management:
- Own the EX budget across office, events, swag, and cultural initiatives.
- Maintain a simple EX dashboard: spend vs. budget, attendance, event feedback, swag stock.
- Manage external suppliers: WeWork, catering, venues, swag vendors, cleaning.
- Run annual vendor reviews; keep contracts and pricing documented.
Required Skills & Qualifications
- 3-4+ years of experience in Office Management, People Ops, Event Coordination, EA, or Hospitality, ideally in a scale-up.
- Track record of owning a budget end-to-end (planned, tracked, reported), not just spending against one someone else managed.
- Track record of running real events for 50+ people fully owned, not assisted.
- Experience managing external vendors directly: catering, venues, suppliers, facilities.
- Experience working in a fast-paced environment where priorities shift weekly.
- HBO-level working and thinking. Relevant degree (Hospitality, Events, Business, Communications, HR) is a plus, not required.
- Fluent English. Dutch strongly preferred for office and vendor management.
- Slack as a primary working tool, not just messaging.
- Notion or similar (Confluence, Coda). If not Notion specifically, fast learner.
- Google Workspace or Microsoft 365 to a strong working level.
- Excel or Google Sheets at working level: filters, formulas, basic pivots, budget tracking.
- Comfortable building and maintaining a simple dashboard for spend, attendance, and event feedback.
- Familiarity with an HRIS (HiBob, Personio, BambooHR) is a plus.
- Basic design tools (Canva, Figma at entry level) for event materials and comms formatting is a plus

- Strong project manager who runs multiple workstreams without dropping balls.
- Detail-oriented, organised, and proactive on communication and status updates.
- Comfortable pushing back on vendors when service is poor. Holds suppliers accountable without escalation.
- Thinks about identity and atmosphere in concrete, operational terms (vendors, formats, rituals, programming), not in abstractions.
- Pragmatic: ships, iterates, improves. Does not over-engineer simple problems.
- Direct, clear communication with cross-functional partners.
- Energy comes from running things well and seeing the result land with people.
- Ownership mentality: treats the office, events, and the EX experience as theirs to make better every week.
This role is not for you if:
- You are looking for a pure culture or strategic People role with execution handled by someone else.
- You see administrative work, budget tracking, and vendor chasing as beneath you.
- You need detailed instructions before you can move. Here, you will often need to figure out the right approach and then go execute it.
- You are looking to use this as a stepping stone into HRBP or strategic People work within a year.
