Job description

Position Summary  

The Reservationist handles all incoming calls and assists with making, changing and confirming restaurant reservations.The Reservationist will handle special requests for guests and external reservation calls including those for small private events, wine cellar bookings, ticketed events, specialty dinners and all events sold by the Food & Beverage department. This position reports to the Director of F&B.

Essential Job Functions/Key Job Responsibilities 

•    Answer all incoming calls for all restaurants according to Forbes 5-star standards while assist guest needs over the phone or via email  

•    Actively guides the guest through the reservation process including reservation times, table splits, special menus, general dietary restrictions and seating preferences 

•    Makes, changes or cancels any reservations according to the reservation guidelines 

•    Complete reservations properly in the dining reservation software 

•    Maximizes restaurant seating and adheres to space and capacity constraints 

•    Well versed in menu offerings and able to answer general questions related to menu items 

•    Make sure that all restaurant-menus are current and up to date 

•    Ensure that all private dining menus are ready before the actual meal period 

•    Make copies, files and completes paperwork as needed

•    Other duties as assigned

Education & Experience Requirements  

•    High School Diploma or equivalent preferred 

•    One-year related experience required 

Knowledge, Skills & Abilities   

•    Understanding on how to assist customers and meet their needs effectively  

•    Proficient in the following; maintenance software (Alice), menu editing software (In Design), restaurant reservation software (Resy) and Microsoft Office programs 

•    Knowledge of wine, food and cooking methods 

•    Knowledge of company policies and procedures 

•    Demonstrates expertise in the technical aspect of the job   

•    Ability to prioritize tasks and manage time effectively  

•    Ability to do basic problem-solving  

•    Proficiency in communicating clearly both verbally and in writing to team members and customers  

•    Ability to identify straightforward issues and propose simple solutions  

•    Completes tasks and goals efficiently and effectively  

•    Ability to quickly adapt to changes in processes, customer flow, environments, and tasks  

•    Ability to engage with customers in a positive and helpful manner  

•    Ability to work independently with minimal supervision, completing work at a high standard  

•    Ability to be a team player, working collaboratively with others

Work Environment & Physical Demands

•    Ability to stand, type and sit at desk/computer for most of the work shift executing repetitive movements

•    No adverse or hazardous conditions

•    Not required, but preferred to be able to occasionally lift, push or pull 25 lbs. individually or with assistance
