The City of Edmonton’s Parks and Roads Services branch is seeking a dedicated and precise District Support Clerk II to join our Mobility Infrastructure Services team. Reporting to the Administrative Lead, the District Support Clerk II is responsible for executing essential daily data entry, clerical, and administrative functions that directly support the operational success of our business area. Operating within a fast-paced environment, your primary focus will be the accurate and efficient input of daily labour, equipment hours, and material usage into SAP systems, as well as auditing bi-weekly payroll data in PeopleSoft and SAP to ensure seamless data transfer. As a vital member of Parks & Roads Services, you will actively cultivate our shared vision and champion continuous improvement while embodying our core cultural commitments.

What will you do?

Specialized Data Entry

  • Accurately and efficiently input daily labour, equipment hours, and material usage for Mobility Infrastructure Services (MIS) field staff into SAP systems (CAT2, MIGO) within established timelines
  • Audit and verify bi-weekly payroll data across SAP and PeopleSoft to ensure successful data transfer prior to payroll deadlines
  • Maintain up-to-date technical knowledge of PARS time entry processes
  • Respond to and collaborate with District Leadership and Payroll/Employee Service Centre to resolve basic pay inquiries and discrepancies for frontline staff
  • Update employee master data and work schedules in SAP, including setting up time administrators for new or transferring staff

Provide Essential Administrative and Clerical Accountabilities

  • Maintain digital and physical records, including managing bills of lading and packing slips, ensuring all documents conform to City of Edmonton formats
  • Coordinate the employee off-boarding intake process
  • Process reimbursement requests and monitor Bank Overtime payout submissions to ensure timely processing
  • Coordinate seasonal evaluations (creating and storing files) and manage general office logistics, such as booking meeting rooms and requisitioning stationery and office supplies

Generate and Review Reports

  • Perform specialized entries for Statistical Key Figures (SKF) to track program accomplishments and assist with the adjustment of SAP inventory as required
  • Extract attendance reports and generate specialized weekly and monthly operational reports for supervisors
  • Monitor usage hours for City-owned and City-leased equipment Qualifications
  • High School Diploma, including business subjects with an emphasis on general office practices, OR the successful completion of an office administration certificate
  • A minimum of two (2) years of progressively responsible related administrative and clerical experience

Assets

  • Strong knowledge and hands-on experience with municipal software and databases, including Google Products, SAP (CAT2, MIGO, PA30), and PeopleSoft
  • Demonstrated experience in procedure creation, data entry, and database administration

Work Environment

  • This position operates primarily in a professional indoor office setting, requiring constant sitting, active focused listening, and visual acuity. Operational duties involve frequent standing, walking, and climbing stairs. Occasional tasks include lifting items up to 20 lbs and navigating day-to-day workplace stressors in an evolving environment
  • The weekly hours of work for this position are currently under review and may change at a future time. Any changes will be made in accordance with the City of Edmonton/Civic Service Union 52 collective agreement and the incumbent will be notified in advance
