Job description

Baptism Follow-Up Administration

  • Update baptism records and badges with baptism date and campus location.
  • Add and maintain profile notes related to baptism activity.
  • Edit and publish baptism photos.
  • Route and monitor workflows sent to designated campus receivers.
  • Identify and address follow-up situations requiring additional review, including:
    • Individuals living with a single adult.
    • Infant or non-aligning baptisms.
    • Attendees expressing interest in future baptism.
  • Create and manage "Follow-Up Required" notes as needed.
  • Monitor open baptism follow-up workflows and reporting.

Starting Point Follow-Up

  • Update attendee badges with attendance date and campus location.
  • Document attendance and engagement notes on profiles.
  • Process attendees through designated event follow-up processes.
  • Review records for potential red flags or follow-up concerns.
  • Ensure appropriate workflows are completed and assigned.

Adult Ministries Event Administration

  • Build and manage Adult Ministries and Next Gen events.
  • Create and maintain ROCK Groups and event registrations.
  • Support special campus events and ministry initiatives.
  • Coordinate camp registrations and event setup.
  • Manage Financial Peace University group creation and registration processes.
  • Send weekly communications to attendees on behalf of ministry leaders.

Workflow & Campus Support

  • Provide support for campus-related Rock RMS requests and inquiries.
  • Reassign workflows sent to incorrect recipients.
  • Modify workflows and processes as ministry needs evolve.
  • Monitor workflow completion and follow up with campus teams as needed.
  • Run campus reports related to ministry engagement, open workflows, baptisms, and PGPAs.
  • Advocate for and assist in the development of reporting solutions that support campus needs.

Data Integrity & Systems Administration

  • Identify, correct, and merge duplicate or pending records.
  • Review, verify, and manage incoming profile photos.
  • Maintain accurate database records and ministry data.
  • Support bulk profile updates and data quality initiatives.
  • Assist with volunteer application updates and maintenance.
  • Manage Group Scheduler configurations and updates for campus teams.

Training & Team Development

  • Facilitate RAMP Plan training for Campus Coordinators, Associate Pastors, and other ministry leaders as requested.
  • Train new campus staff on Rock RMS functionality, best practices, and ministry processes.
  • Serve as a resource for understanding how campus roles and central support functions work together.
  • Provide ongoing guidance to campus teams regarding Rock RMS capabilities and support services.

Special Projects

  • Support ADL Team with special projects and ministry initiatives.
  • Assist with operational improvements, system enhancements, and ministry process optimization.
  • Collaborate with ministry leaders to improve efficiency and engagement across campuses.

Qualifications

  • Strong administrative, organizational, and project management skills.
  • Experience working with Rock RMS or similar church management systems preferred.
  • Attention to detail and commitment to data accuracy.
  • Ability to manage multiple projects and deadlines simultaneously.
  • Strong communication and collaboration skills.
  • Passion for supporting ministry teams and creating excellent experiences for attendees and volunteers.
