Time: 9am-5pm (Must be flexible)
Compensation: $120,000 – $150,000 per year, Paid via W2 (on the books)

A family in New Rochelle is seeking an experienced Executive Assistant / Household Operations Director to provide support within a structured family office environment.
This is not a traditional administrative role. The position serves as the central operational coordinator responsible for ensuring the household and family logistics run smoothly, efficiently, and predictably.
The ideal candidate is a high-level Executive Assistant, Estate Manager, or Family Office professional with strong operational judgment and experience coordinating complex household environments.

Core Responsibilities:
Household Operations Oversight:
• Maintain structured household calendar systems (Cozi and related platforms)
• Coordinate school, medical, camp, and extracurricular logistics
• Ensure seamless transitions across daily routines and schedules
• Eliminate last-minute operational disruptions
Operational Systems & Process Development:
• Design and document repeatable household workflows
• Build continuity systems that remain functional through staff transitions
• Reduce operational bottlenecks and single-point-of-failure processes
• Maintain structured communication and escalation channels
Vendor & External Service Oversight:
Coordinate and oversee external service providers including:
• Bill-pay and bookkeeping services
• Travel advisors and event support providers
• Household maintenance vendors
• Postal and mail processing systems
• Insurance and payroll providers
Transportation Infrastructure Coordination:
The household operates a structured transportation model using a vetted bench of drivers.
Responsibilities include:
• Maintaining predictable pickup and route coordination
• Ensuring communication between drivers and childcare professionals
• Maintaining backup transportation coverage
• Identifying and resolving reliability gaps
Project Leadership:
• Move initiatives from concept to completion
• Maintain accountability across vendors and service providers
• Sequence operational steps and track progress
• Ensure forward momentum independent of principal bandwidth
