Job Description
We are looking for a Facilities Coordinator to support the effective delivery of day-to-day facilities management services. This role acts as a key on-site point of contact for employees, visitors, vendors, and service partners.
You will coordinate operational activities to ensure a safe, efficient, and high-quality workplace environment. The position supports the Facility Manager with operational, administrative, and financial tasks. You will play an active role in vendor coordination, issue resolution, and service improvement initiatives.
A strong customer-service mindset and attention to detail are essential for success. This is a hands-on role within a dynamic office environment.
Key Responsibilities
- Coordinate daily facilities operations and support the Facility Manager with site activities
- Act as the first point of contact for employees, visitors, and service providers
- Log, monitor, and close requests and issues through the ticketing system
- Coordinate vendors and contractors, monitoring service delivery and performance
- Conduct regular site inspections to identify risks and ensure safety compliance
- Support health & safety, cleaning, and operational audits
- Prepare meeting rooms and support front-of-house and workplace services
- Manage mail, deliveries, and general office services
- Raise purchase orders, support invoice processing, and track operational costs
- Order and manage office consumables and supplies
- Maintain accurate documentation and ensure audit-ready processes
- Support ad-hoc facility projects and continuous improvement initiatives
Requirements
- Experience in facilities coordination, office operations, hospitality, or a related field
- Strong communication and customer service skills
- Ability to manage multiple tasks in a fast-paced environment
- Proactive, reliable, and solution-oriented approach
- Good organizational skills with attention to detail
- Confidence working with vendors and internal stakeholders
- Basic understanding of health & safety and workplace compliance
- Comfortable using ticketing, financial, and office systems
- Ability to remain calm and professional under pressure
- Team-oriented mindset with a high level of accountabilities
