Job Description
The Document System Administrator is responsible for administering and supporting Albemarle’s engineering and capital project documentation systems, including Adept, Aconex, and related EDMS platforms. This role ensures project teams have access to accurate, compliant, and well-structured documentation by maintaining data integrity, optimizing workflows, and enforcing metadata, permissions, and lifecycle standards.
The position provides day‑to‑day user support, troubleshooting, onboarding, and training for global engineering, project, and contractor teams. It also contributes to system improvements by monitoring performance, supporting enhancements, and participating in upgrades, configuration changes, and migrations.
As part of a collaborative team, the administrator maintains documentation, shares knowledge, and supports cross-training to enable consistent processes and reliable global operations.
What You Will Do
Key Responsibilities:
- Administer and support Adept, Aconex, and related EDMS platforms, ensuring proper metadata, structure, workflows, permissions, and compliance.
- Serve as a primary support contact for global users, resolving issues and coordinating escalations with IT, SMEs, and external vendors.
- Maintain metadata integrity, version control, and alignment with Albemarle’s document standards and retention policies.
- Support system improvements, feature requests, upgrades, configuration changes, and data or system migrations.
- You will partner with engineering and project teams to ensure documentation accuracy, consistency, and adherence to lifecycle requirements.
- Deliver user training, onboarding, and role-based access configuration; develop guides, job aids, and best practice materials.
- Support documentation workflows, cleanup initiatives, audits, and project handover requirements.
- Additional responsibilities may be assigned as systems evolve and new projects are initiated.
Work Environment:
- Global, matrixed organization supporting capital projects, engineering, and operations across North America, South America, Europe, Middle East, Asia, and Australia.
- Regular interaction with engineering, EPCs, contractors, IT, and leadership.
- Travel may be required, up to 10%.
- Hybrid role, three days per week in office.
What You Bring
Required:
- Experience with EDMS platforms such as Adept, Aconex, or similar systems.
- Background in engineering, construction, or capital project documentation environments.
- Strong troubleshooting and problem‑solving skills.
- Knowledge of metadata structures, classification, version control, and permissions management.
- Strong communication skills and ability to support cross‑functional teams.
- High attention to detail and strong process orientation.
- Ability to manage multiple priorities in a global, matrixed organization.
Education/ Experience:
- Minimum of 5-10 years’ experience in a document control function in an operations or project execution environment.
- Minimum of 1-5 years’ experience in Electronic Document Management Systems (EDMS) application owner/ administrator.
- Associate degree or bachelor’s degree associated with current industry. Years of experience acceptable in lieu of degree.
Preferred:
- EDMS system administrator, module owner, or SME experience.
- Knowledge of engineering documentation standards and capital project lifecycles.
- Familiarity with metadata governance, retention schedules, classifications, and configuration updates.
- Experience developing training materials, SOPs, and user guides.
- Experience supporting workflow optimization, document cleanup initiatives, or audit readiness.
- Working knowledge of SharePoint, Teams, or similar collaboration platforms. #LI-JH3
