Job Summary

We are seeking a dedicated and professional Receptionist/Administrative Assistant to join our legal office team. This role is essential in providing exceptional front desk support, managing administrative tasks, and ensuring smooth daily operations. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a proactive approach to office management. Bilingual proficiency is highly desirable to serve a diverse client base effectively. Duties

  • Greet clients and visitors with professionalism and courtesy, ensuring a positive first impression.
  • Manage multi-line phone systems, screen calls, and direct inquiries efficiently.
  • Maintain an organized front desk area, including filing, data entry, and document management.
  • Handle scheduling and calendar management for attorneys and staff using digital tools.
  • Perform clerical tasks such as proofreading legal documents, preparing correspondence, and managing mail.
  • Utilize office management software including Microsoft Office Suite and Google Workspace for various administrative functions.
  • Process invoices and perform basic bookkeeping using QuickBooks or similar accounting software.
  • Support customer service efforts by addressing client questions promptly and professionally.
  • Manage office supplies inventory and coordinate with vendors as needed.
  • Assist with personal assistant duties such as travel arrangements or meeting preparations when required.

Experience

  • Prior experience in an office environment, preferably within a legal or professional services setting.
  • Demonstrated clerical and administrative experience with a focus on organization and efficiency.
  • Familiarity with office management systems, multi-line phone systems, and data entry procedures.
  • Proficiency in Microsoft Office applications (Word, Excel, Outlook) and Google Workspace tools.
  • Experience with QuickBooks or similar bookkeeping software is advantageous.
  • Strong written and verbal communication skills; bilingual abilities are preferred.
  • Excellent organizational skills with attention to detail and time management capabilities.
  • Proven ability to handle confidential information discreetly while maintaining professionalism. Pay: $50,000.00 - $55,000.00 per year
