About the Role
We are seeking a strong, organized, and people-focused Office Manager / Financial Coordinator to support the overall operations and financial performance of our orthodontic practice.
This is a unique opportunity to lead both practice operations and financial coordination, ensuring a seamless experience for patients while driving efficiency, accountability, and team performance.

Key Responsibilities
Practice Operations & Leadership
- Oversee daily operations to ensure a smooth, efficient, and positive patient experience
- Support scheduling optimization, patient flow, and overall office performance
- Lead, coach, and support team members in alignment with practice expectations
- Partner with the doctor and EPIC4 leadership on performance, staffing, and growth initiatives
Financial Coordination & Revenue Cycle
- Verify insurance eligibility and benefits for scheduled patients
- Present treatment plans, explain financial options, and review patient responsibilities
- Manage billing, insurance claims, and collections processes
- Follow up on outstanding claims and ensure timely resolution
- Maintain accurate financial records and account reconciliation
Team & Patient Experience
- Foster a positive, professional, and team-oriented culture
- Address patient questions and concerns with empathy and clarity
- Ensure patients feel confident and informed about their care and financial options
Compliance & Administration
- Ensure adherence to HIPAA, OSHA, and practice policies
- Support reporting, documentation, and operational processes
- Act as a liaison between the practice and EPIC4 support teams
What We’re Looking For
- Experience in dental, orthodontic, or healthcare office management and/or financial coordination
- Strong understanding of insurance, billing, and patient account management
- Proven ability to lead, coach, and support a team
- Highly organized with strong attention to detail
- Excellent communication skills and a patient-first mindset
- Ability to balance big-picture thinking with day-to-day execution
