We are seeking a Recruiting Coordinator to play a critical role in delivering a seamless, high-quality experience for candidates and hiring teams. This role is responsible for interview scheduling and coordination and providing operational support to the broader recruiting team as needed. Strong organizational skills, attention to detail, and comfort adopting and using AI-driven tools are essential to success in this position. This role is hybrid, required to be in Cvent’s Tysons, VA headquarters two days each week. In This Role, You Will: Own end-to-end interview scheduling for candidates across multiple time zones, including phone, video, and onsite interviews. Coordinate virtual and onsite interviews, including room reservations, visitor access, agendas, and any logistics such as travel or accommodations as needed. Act as a point of contact for candidates and interviewers to resolve last-minute changes, reschedules, and conflicts quickly and professionally. Ensure a consistent, high-quality candidate experience, from initial scheduling outreach through post-interview follow-up. Own full lifecycle recruiting for designated intern roles, from intake to offer acceptance. Post intern job descriptions, manage requisitions, and ensure roles are visible on the appropriate job boards and channels. Proactively identify and suggest process improvements that enhance speed, quality, and candidate experience. Serve as a champion for AI adoption within the recruiting team, actively using AI-driven tools and platforms to improve scheduling efficiency, candidate communication, data accuracy, and overall recruiting workflows. Stay current on emerging AI capabilities in talent acquisition and share learnings, best practices, and recommendations with the team. Here's What You Need: 0–2 years of experience in recruiting coordination, HR coordination, or related administrative support; internship or campus recruiting experience is a plus. Experience working with an ATS and calendar tools (e.g., Outlook, Google Calendar) a strong plus; comfort learning new systems quickly. Strong organizational skills with the ability to manage high-volume scheduling and competing priorities with accuracy and poise. Proven attention to detail and follow-through, especially in managing logistics and documentation. Demonstrated interest in and comfort using AI tools to streamline work, experiment with new approaches, and improve team productivity. Ability to handle sensitive and confidential information with discretion. A collaborative, service-oriented mindset and a genuine interest in delivering a great candidate and hiring manager experience.
