Under general supervision, the Unit Specialist II reports to the Senior Associate Vice President of Philanthropy & Alumni Engagement (PAE), this position provides administrative support to the Senior Associate Vice President of PAE and serves as backup support to the Vice President of PAE. This position requires outstanding interpersonal skills, communication skills, a high degree of proficiency with Microsoft Office suite, and the ability to communicate with donors, donor prospects, volunteers, and other key individuals critical to the University’s philanthropic goals. The position will require the ability to handle sensitive information with confidentiality and discretion. This position will need to handle multiple assignments and priorities and independently deal with project difficulties while still meeting critical deadlines. This position will work collaboratively with various stakeholders across campus, including deans, faculty, senior administration, staff, students, and donors. Work evenings or weekends occasionally.
Duties & Responsibilities
Assist the Senior Associate Vice President of Philanthropy & Alumni Engagement (SAVP) with daily matters relating to philanthropy, events, alumni, donors, and friends of the University of Louisville.
Serve as backup support to the Vice President (VP), which could include various daily matters, calendar coordination, and prioritizing requests for appointments.
Manage confidential communication and sensitive matters related to donors and personnel actions. May represent the VP or SAVP at meetings to furnish or obtain information.
Evaluate and prioritize requests for appointments, facilitate access when needed, and coordinate the SAVP’s calendar.
Provide overall coordination of fundraising activity support, including but not limited to internal and external meeting support, project follow-up, communicating directly with top-tier prospects, coordinating reports, scheduling travel details and logistics, and providing limited event support.
Support overall communication efforts of the SAVP and VP (when needed), including drafting correspondence, preparing pre- and post-meeting materials, assisting with managing gift announcements, and supporting other outreach efforts.
Exhibits professional communication via phone, e-mail, and mail. Serve as front-line communications representative for the Development team.

Preferred Qualifications
3+ years of related experience. Experience in non-profit fundraising or higher education.
Competencies
Excellent verbal and written communication skills, the ability to work with all levels and manage multiple deadlines, and the ability to handle confidential and sensitive information with discretion. Be proficient in Microsoft Office, customer relations, travel arrangements, calendar management, data entry, and analysis. Effective computer experience, including database operation and word processing.
